Location: Boultham Park Medical Practice, Boultham Park Road, Lincoln, LN6 7SS. This is a full-time, permanent role within an inner-city practice serving around 10,500 patients, located in Lincoln. The Practice is part of the Apex Primary Care Network (PCN) and works closely with partner practices and NHS organisations to support high-quality patient care.
Job Description
Job responsibilities include a combination of administration, operational support, HR, patient and practice services, finance, and IT. The role provides business and operational management support to the Practice Manager and Partners.
Responsibilities
* Administration: Maintain and organise the Practice diary, schedule appointments and meetings; assist with document preparation, filing and data entry; handle inquiries; assist in organising meetings, take minutes, and maintain action logs; undertake additional tasks as directed.
* Operational Support: Maintain policies and procedures; oversee the Information Management System and ensure access to required policies; liaise with contractors for maintenance checks; support governance activities and compliance with CQC, GDPR, safeguarding, and other regulatory requirements; coordinate and acknowledge patient complaints, draft responses, and manage logs; engage with PCN colleagues and attend PCN meetings.
* HR: Support recruitment, induction, and onboarding; maintain personnel and attendance records; ensure statutory requirements are fulfilled; support policy development and continuous process improvement; maintain confidentiality; act as Freedom to Speak Up champion; oversee induction of new staff and locum GPs; audit HR records and training.
* Patient & Practice Services: Develop the Patient Participation Group (PPG); enhance patient experience and feedback mechanisms; coordinate administrative procedures across manual and computerised systems; manage health and safety protocols and communications with patients and external contacts; ensure up-to-date patient information (leaflets, website).
* Finance: Assist with financial reporting, budget monitoring, and procurement as directed; perform other tasks related to finance as required.
* IT: Maintain and update the practice website; support clinical access systems and electronic patient records; assist with IT fault finding; understand GDPR and NHS Digital standards; manage access rights and confidentiality; support digital onboarding and system navigation; use digital tools for policy management, training logs, and CQC preparation; run reports for QOF and workforce compliance; use MS Teams for meetings.
Qualifications and Skills
Essential:
* High school diploma or equivalent
* Experience with web and Office IT systems; ability to learn new IT systems
* Knowledge of NHS and primary care challenges; understanding of HR, H&S and governance
* Strong written and verbal communication; proactive team player; ability to work independently; good organisational and prioritisation skills; attention to detail; ability to handle confidential information
Desirable:
* Knowledge of clinical IT systems; governance understanding (clinical, HR, H&S); experience in General Practice
* Teamworking, emotional intelligence, and coaching abilities; ability to promote two-way communication
Qualifications:
* Essential: High school diploma or equivalent
* Desirable: Recognised management qualification or degree; graduate-level education
