Operation Services Limited## **About the role**The Solar O&M Repowering / Projects Coordinator will provide administrative and coordination support to the Solar Operations, Repowering, and Projects teams. The role is critical in ensuring the smooth planning, execution, and reporting of repowering and project activities across the portfolio.This position will act as a central point of coordination between internal teams (Operations, Projects, SHEQ, Asset Management) and external stakeholders (contractors, suppliers, and clients), ensuring that all activities are well-organised, compliant, and delivered efficiently.## **What you will do****Project & Repowering Coordination*** Support the planning and coordination of repowering and project activities across multiple solar sites.* Maintain and track project programmes, milestones, and deliverables.* Assist with the mobilisation of sites, including documentation, access planning, and logistics.* Coordinate with contractors and suppliers to ensure timely delivery of works.* Track progress of works and highlight risks, delays, or issues to the Projects team.**Administrative Support*** Provide general administrative support to the Solar O&M Repowering and Projects teams.* Organise and maintain project documentation, ensuring accurate version control.* Prepare meeting packs, minutes, and action trackers.* Support the preparation of reports for internal stakeholders and clients.* Maintain trackers for budgets, purchase orders, and project costs.**CDM / SHEQ Support*** Assist with the coordination of CDM requirements, including: + Tracking PC/PD appointments + Ensuring documentation is in place prior to works commencing* Support the compilation and organisation of CDM packs (RAMS, CPPs, permits, etc.).* Ensure all project documentation aligns with Health, Safety, Quality, and Environmental (SHEQ) standards.* Assist in tracking audits, inspections, and actions.**Stakeholder & Client Support*** Act as a point of contact for internal and external stakeholders.* Support communication between Asset Management, Operations, and Projects teams.* Assist in preparing client updates and reports.* Ensure timely responses to queries and requests from stakeholders.**Data Management & Reporting*** Maintain project trackers, dashboards, and reporting tools.* Ensure accurate and up-to-date data across internal systems.* Support performance reporting against KPIs, timelines, and budgets.* Assist with compiling lessons learned and continuous improvement actions.**Procurement & Commercial Support*** Assist with raising purchase orders and tracking approvals.* Support procurement processes including supplier onboarding and coordination.* Track invoices and support the reconciliation of project costs.* Assist with contract documentation and record keeping.## **What you’ll need to succeed****Essential*** Previous experience in an administrative or coordination role (ideally within construction, engineering, or renewables).* Strong organisational and time management skills.* Excellent attention to detail and document control capability.* Strong communication skills (written and verbal).* Proficient in Microsoft Office (Excel, Word, PowerPoint).* Ability to manage multiple tasks and priorities in a fast-paced environment.* Proactive and highly organised.* Strong team player with a collaborative approach.* Right to work in the UK.**Desirable*** Experience within solar, renewables, or utilities sector.* Understanding of CDM regulations and project lifecycle.* Experience working with project management tools and systems.* Knowledge of Health & Safety processes within construction or O&M environments.* Private Health Insurance.* Life Assurance Cover.* Company Pension Scheme.* Flexible Working Environment.* Yearly Discretionary Performance Bonus Scheme.* Excellent Company Culture.* Mental Health First Aid support.* Employee Assistance Programme which provides all employees with 24/7 access to telephone and online counselling.* Access to an online benefits portal which includes travel and shopping discounts, healthy living advice & a financial well-being resource bank.* Cycle 2 Work Salary Sacrifice Scheme.* Electric Vehicle Salary Sacrifice Scheme (eligibility after 12 months employment).**Benefits can vary depending on the location and are not legally binding.****BayWa r.e.
