Administrator - Gender Service

Cambridge University Hospital Foundation Trust (CUH) is seeking a highly skilled and compassionate individual to join the new NHS Children and Young People's Gender Service (East of England) in the role of Administrator. The Cass Review into gender services for children and young people has recommended that staff should maintain a broad clinical perspective by working across related NHS services to embed the care of children and young people with gender‑related distress within a broader child and adolescent health context. In order to facilitate this, we encourage part‑time applications from staff already working in other NHS or related services. We can also work with successful candidates applying for full‑time roles to agree a job plan that includes a mix of gender service activity and activity in another clinical area.

The service operates Monday‑Friday. There are 3 full‑time roles available with the following shifts:

* Job 1 - 08:00 – 16:00
* Job 2 - 08:30 – 16:30
* Job 3 - 09:00 – 17:00


Main duties of the job

To provide a comprehensive administrative support service to the Children's and Young People's Gender Service, including overseeing and undertaking the booking of appointments, coordinating multidisciplinary team meetings, producing letters and other documents, arranging and taking minutes of meetings, and dealing with queries and concerns in a timely manner. You will be the first point of contact for all visitors to the clinic, including patients and their families.

Due to Home Office immigration rules, a full‑time permanent vacancy cannot be filled by individuals on a Student visa. Therefore, students are not eligible for a full‑time permanent contract unless they have applied for a Graduate visa or have successfully completed their course and applied for a Graduate visa before the anticipated start date of employment. This vacancy will close at midnight on 24th May. Interviews are due to be held on 9th June.

Person Specification


Qualifications

* Educated to NVQ 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
* Advanced Excel training course / qualification.


Experience

* Significant administrative/secretarial experience including initiating and maintaining office systems.
* Demonstrable experience in dealing with the public and handling sensitive and confidential information.
* Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access.
* Understanding of Confidentiality and Data Protection Act.
* Knowledge of NHS issues.
* Previous experience of office/secretarial or similar relevant role.
* Previous experience of taking minutes of meetings and transcribing notes accurately and efficiently.
* Evidence of working in a healthcare environment and previous experience of working with NHS electronic systems such as ESR, Trac, Oracle and E‑Rostering systems.


Knowledge

* Knowledge and experience of using software programmes, e.g. Microsoft Office, especially Outlook, Word, Excel and PowerPoint.
* Ability to take responsibility for own work and work without direct supervision where appropriate.
* Ability to work using own initiative where applicable.
* Ability to prioritise work and meet deadlines under pressure.


Skills

* Clear communicator with excellent writing, data entry and presentation skills; capable of constructing and delivering clear information and instructions to staff and service users.
* Ability to work under pressure in a busy working environment and to multi‑task.
* Effective team working.
* Minute taking.
* Evidence of ability to communicate at all levels clearly and concisely, both oral and written.
* Evidence of frontline customer service skills and willingness to learn.
* Evidence of previously working under pressure or to a tight deadline.
* Excellent organisational skills and attention to detail.
* Confidence in making decisions when dealing with competing priorities.
* Ability to develop and maintain good working relationships with all levels of staff.
* Ability to handle confidential and sensitive information appropriately.
* Flexibility according to priorities and changing organisational systems.

* The ability to understand and behave at all times, towards patients, visitors and colleagues, according to the Trust values of safe, kind, excellent.
