We are looking for a dedicated individual to efficiently and effectively manage all administrative and receptionist activities. This role is essential for the smooth operation of our centre and is crucial in providing outstanding customer service. Responsibilities
* Greeting and welcoming customers and supporting the customer journey throughout the centre right through to checkout.
* Answering, screening and forwarding incoming customer queries via phone calls and proactively managing the local mailbox and emails.
* Maintaining a well‑presented reception and waiting areas.
* Dispatching customer reports from the centre within the desired time frame, including effective management of abnormal results.
* Ensuring all customers have the correct paperwork to support their visit – appointment packs, clinical file preparation and consent forms.
* Managing results (receiving, scanning, uploading) and following up with suppliers to ensure turnaround within the agreed SLA.
* Correctly recording customer details, arriving, booking, changing and rescheduling appointments on EXACT/BOSS/Meddbase; processing payments, invoices, added charges and credit notes upon customer departure.
* Organising documents for quick turnaround, working in date order and prioritising to meet deadlines.
* Assisting in bookings of mammograms and MSK referrals where delivered at the centre.
* Collecting, opening, date‑stamping, distributing incoming post and posting outgoing post.
* Generating letters as required by the business.
* Monitoring stocks and ordering goods when required.
* Processing invoices/delivery notes as per Bupa policy.
* Taking an active part in ensuring the facility is well presented through proactive escalation when required.
* Delivering outstanding customer service by being friendly and welcoming.
* Utilising administrative and reception experience.
* Being well organised, reliable and proactive.
* Being computer literate.
* Having knowledge of medical terminology (desirable).

Schedule and Compensation
The role requires weekday shifts from 2 pm to 10 pm and at least one weekend shift – Saturday 9 am to 5 pm or Sunday 11 am to 5 pm – with flexibility to cover day shifts when required. The annual salary is £27,900 plus excellent benefits.
