Overall Position Summary andObjectives
The purposeof this position is to provide administrative support to researchteams and participants enrolled in a National Institute of Allergyand Infectious Diseases protocol. The Patient Care Coordinator(PCC) will be responsible for all scheduling activities includingarranging appointments travel and entering remuneration intoappropriate systems. The PCC will need to communicate effectivelywith participants and teams related to scheduled activitiesfollowup and the logistics of each appointment.

Statement of WorkDetails
* Coordinates the recruitment scheduling traveland admission of research study participants.
Coordinate patient schedules with testersnurses physicians and clinical research coordinators.
Coordinate the recruitment scheduling travel andadmission of research study participants with clinicalstaff.
Work with staff to coordinate newresearch patient screening appointments procedures and imagingstudies between protocol investigators and the outpatient clinicscheduling personnel.
Coordinate schedulingtravel and lodging of subjects participating in studies.
Assess unique participant needs prior to visit andaddress needs with clinical team (i.e. interpreting servicesassistive devices isolation etc.).
* Distributes recruitmentmaterials.
Distributepatient recruitment and communication materials.
* Acts as a liaison betweenparticipants participants relatives and staff members andcommunicates participants questions complaints problems andconcerns to appropriate staff members.
Triage questions to appropriate personnel inthe team as necessary.
Maintain ongoingrelationships with patients families caregivers medical careproviders and various individuals on a continuous longtermbasis.
Respond to patient emails and phonecalls; prioritize patient related issues into urgent emergent androutine; triage the issues to the appropriate personnel in the teamas necessary.

Respond to communications with research subjects; direct questionsto appropriate team member.
Stay current onClinical Center and Institute communications. Updates participantresources and educational materials related to their visit asneeded based on these communications.
Keepparticipants informed of Clinical Center and NIH campus changesaffecting their visit.
* Collates enters and maintains data collected onparticipants.
Collectoutside medical documentation electronically scans and uploadsrecords into the electronic medical record.
Review medical records to collect relevant clinical data.
Maintain patient files medical records and patient familycontacts; file medical record notes into patient chartsdaily.
Create reports/spreadsheets for trackingand scheduling of protocol patients.
Obtainmedical information imaging disks and pictures from applicants onan ongoing basis; file them with the records.
* Coordinates new patient referrals by obtainingpertinent information and forwarding it for review.
Refer prospective volunteers perstudy guidelines to the appropriate Institute contactperson.
Obtain outside medical recordsradiology studies biopsy slides and submit to the respectivedepartments at the NIH.
Communicate withappropriate staff about intake and materials and submission ofmaterials for review.
* Mayassist in preparing credentialing packages.
Perform Quality Assurance reviews oncredentialing records.
* Monitors workflow and administers and revisesprocesses to maintain and improve operations.
Work with staff to achieve optimum scheduleand staff utilization; work with staff in problem solving foroverlapping appointments.
Review futurescheduled cases to resolve potential conflicts or problems; monitoradditional reports to ensure data validity.
Troubleshoot scheduling issues to ensure maximum productivity ofstaff resources.
Monitor and identify areas ofimprovement in the clinic environment clinical trial conductance inthe outpatient setting for patients families and staff.
Participate in training other clinical staff on clinicaloperations.
Participate in quality improvementinitiatives and maintenance of SOPs.
* Mentors and trains staff on patient recruitmentand coordination processes and procedures.
Assesses organizational need and developstraining programs to improve accuracy and performance of patientcoordination processes and procedures.
