The Role & Key Responsibilities

It is our mission to identify and protect vulnerable people, prevent and respond to harm and keep people safe.
We are seeking a proactive and customer-focused Maintenance Coordinator to join our Estates & Facilities (E&F) team. In this role, you will act as the main point of contact for all maintenance-related queries across Sussex Police. You will manage and triage requests through our Computer Aided Facilities Management (CAFM) system, ensuring that tasks are efficiently allocated to in‑house engineers, external contractors, or partner agencies.
This position is central to maintaining safe, compliant, and well-functioning buildings, supporting both operational policing and wider organisational needs. You will work closely with customers, contractors, finance teams, and senior managers, providing exceptional service and ensuring maintenance activities are delivered to agreed standards.
The role is based at Lewes Headquarters, Monday-Friday, 08:00-16:00 with a 30 minute lunch break.
Responsibilities include:
1. Triage, allocate and update maintenance requests within the CAFM system, liaising with internal teams, contractors, or partner agencies.
2. Coordinate reactive maintenance and Planned Preventative Maintenance (PPM)
3. Record, and process worksheets, quotes, timesheets, and invoices.
4. Process order requests, ensure timely invoice payments, and follow finance and procurement procedures accurately.
5. Manage contractor vetting and renewal requests to maintain compliance and access control requirements.
Skills & Experience
6. Proven background in similar administrative roles.
7. Strong written and verbal communication.
8. Skilled in conflict resolution, relationship building, and collaborative working.
9. Accurate record‑keeping skills using digital and physical systems.
10. Strong attention to detail, including identifying and resolving data discrepancies.
11. Experience coordinating maintenance, inspections, or service activities.
12. Comfortable managing diaries, access control, visitor management, and vetting checks.
13. Able to make quick, informed decisions and respond effectively to unexpected issues.
14. Strong organisational skills with the ability to manage multiple tasks and deadlines.
15. Confident working independently while contributing positively to a wider team.
16. Comfortable using procurement/finance systems and CAFM platforms.
17. Proficient in Microsoft Outlook, Word, and Excel
18. Willingness to learn new IT systems
