Job Description:
We are a busy practice based in Central Oxford seeking a Medical Secretary and Administrator to support our daily operations. With a growing patient base of over 20,000 and a dedicated team of 60+ staff, we value dedication and collaboration. This role is flexible, covering annual leave for the workflow and secretary teams, and assisting during high-demand periods.
Key Responsibilities
1. Process clinical correspondence accurately, ensuring it is coded and forwarded to the relevant healthcare professional following clinical protocols.
2. Handle all practice correspondence (paper, email, electronic) and attach it to patient records.
3. Read code diagnoses, procedures, and investigations, highlighting required actions.
4. Identify high-risk areas requiring input from the clinical team, such as safeguarding issues.
5. Collaborate with reception, admin, and clinical teams to maintain a safe, high-quality service.
6. Type letters, reports, and other documentation as required.
7. Liaise with external agencies, including hospitals and community services, to ensure referrals are processed efficiently.
8. Manage enquiries professionally and maintain an accurate referrals database.
9. Process incoming emails, referrals, and scan documents into patient records.
10. Handle administrative tasks such as answering phone calls, actioning letters, and maintaining a tidy work area.
11. Support clinical staff with various administrative duties.
Desirable Experience & Qualifications
1. Previous experience working as a medical secretary in a healthcare setting.
2. Experience working with the general public.
