Overview
This is a full-time post. Due to the transformation of our services, we are recruiting for an enthusiastic and proactive administrator to join and enhance our team, providing outstanding care for patients across Worcestershire. A willingness to learn and expand your skills will be positively encouraged and we will provide resources to develop and progress a long-term career.
Contracted hours and pattern: 37.5 hours over 5 days per week (Monday–Friday preferred); however this can be discussed if fewer hours/days are preferred, minimum of 30 hours per week over 4–5 days. Working location: The Beacon Centre, Worcester. This role involves front-facing reception duties and may require working across multiple sites to cover leave and sickness of other admin staff. Remote working is not available.

Responsibilities
* Undertake administration/secretarial duties specific to the role.
* Monitor diaries, resolve conflicting appointments (e.g., booking venues, cancelling clinics).
* Provide admin support to clinical staff, including preparation and finalisation of clinical letters and reports.
* Answer and manage telephone enquiries professionally; record messages efficiently.
* Manage and prioritise own workload, following agreed processes with the patient at the centre.
* Be a flexible, supportive team member; provide cover during staff absences or high-demand periods, which may include other bases.
* Cover administration tasks for both Paediatric Occupational Therapy and Physiotherapy teams as required.
Qualifications & Experience
* Essential: Educated to Vocational Level 3 in Business Administration, or Vocational Level 2 with NHS administrative experience and willingness to undertake the Level 3 qualification on appointment. Original certificates may be requested at offer stage.
* Essential: Administrative/Secretarial experience in a busy environment.
* Desirable: Previous NHS experience.
* Essential: Ability to meet travel requirements; willingness to commit to continuing professional development; professional manner; tact and discretion with confidential information; no sponsorship provided.
* Skills: Clear English communication (verbal and written); intermediate IT skills (to be tested at interview); numeracy; accuracy and attention to detail; good organisation; initiative.
* Knowledge: Range of admin/secretarial procedures; Microsoft Office (Word/Excel/Outlook); understanding of the Data Protection Act and NHS Code of Confidentiality.
