We are members of IP Inclusive and have been actively involved in Women in IP, IP & ME, IP Out and IP Ability. ​ JOB TITLE: Level 3 Secretary – Six-month Fixed Term Contract REPORTS TO: Team Co-ordinator RESPONSIBLE TO: Secretarial Manager ISSUED: January 2026 ​ JOB SUMMARY ​ The post holder will be responsible for general day-to-day provision of secretarial / administration work. They will also provide cover for other secretarial staff during periods of absence. ​ KEY RESPONSIBILITIES ​ Communication and Liaison ​ Establish and maintain effective working relationships with team members, co-workers, and clients. Manage communication through drafting and responding to e-mails, taking telephone messages Liaise with internal departments and teams as necessary. Arrange and coordinate meetings for fee earners ​ Documentation and Data Management: ​ Ensure provision of audio/copy typing and amendments of emails, letters, and specifications per the fee-earning team's requirements. Saving emails and attachments / documentation Scanning and copying of reports and documents as necessary Assist with the preparation of various Patent/Trade Mark applications and formalities documents. Assist in maintaining an organised electronic filing system and any other duties to accommodate paperless working. ​ ​ Billing and Account Management: ​ Assist with the preparation of monthly client accounts (in co-ordination with the billing co-ordinator where appointed), invoices, credit and debit notes adding service charges to Work In Progress (WIP) as appropriate. ​ Compliance and Procedure Adherence: ​ Interpret instructions and issues, implementing actions according to administrative policies and procedures. Download documents from and upload documents to various client platforms as per their requirements ​ ​ Client and Case Management: Utilise Inprotech for managing weekly/daily reminders and producing client schedules and last-day lists when required. Prepare documentation using IPT as per fee earners’ instructions ​ Additional Responsibilities Any other duties a partner, fee earner or senior member of staff may reasonably ask you to carry out. ​ SKILLS AND EXPERIENCE ​ At least 1 years’ experience of working within an IP practice ideally within a partnership model GCSEs (ideally at least 5 at Grade 6 or above, including Maths and English) or equivalent Diligent with keen attention to detail ​ ​ SYSTEMS USED ​ Microsoft Office (Word, Excel) Knowledge of Microsoft Office Suite (essential) Inprotech (desirable) iManage (desirable) Digital Dictation ​ CORE COMPETENCIES - IN LINE WITH OUR VALUES ​ Value Competency/Behaviour Be Open Demonstrate open and honest communication Excellent communication and interpersonal skills Belong Together The ability to work well within a team Foster an atmosphere of collaborative working Excelling for clients Deliver excellent client care An ability to prioritise tasks effectively, work to tight deadlines and under pressure Flexibility in task management and adaptability to change Leading the way View change as a positive and an opportunity to develop Proactive mindset ​ STATEMENT ​ This job description is issued as a guideline to assist you in your duties, it is not exhaustive and we would be pleased to discuss any constructive comments you may have.
