Job Description
To provide a supporting role to Fleet Services Management ensuring compliance with statutory Fleet Management and Goods Vehicles Licence processes and statutory documentation. To be part of a team responsible for the day to day running of the Fleet Services Section. To liaise directly with vehicle and plant user departments, the public and Taxi Trade regarding scheduling, recharges, insurance claims and Taxi Testing. To provide management reports from the Fleet Management system, Tranman. Programming & forward planning Council vehicle and Taxi inspections, MOT Testing. To undertake technical, administrative, processing and monitoring tasks. Reception & pool car administration.
Responsibilities
Contribute to general administration of the Fleet Services Section.
Maintenance and development of Fleet Management system software, Microsoft Excel, Word & Outlook.
Undertake Fleet Management reception tasks.
Fleet, Workshop and Stores admin and technical support .
Assisting with the internal hire desk, pool car queries & liasing with user departments. Comply with Health and Safety at Work legislation, Council polices and procurement policies
The Individual
Significant experience of clerical & reception duties.
Experience of using relevant Microsoft & Fleet/Stores management software.
4 SQA Standard Gradest or equivalent at level 3 or above including english.
HNC in office administration or equivalent.
Proven ability to work effectively under pressure and consistently meet deadlines.
Well organised and able to act on own initiative.
Strong verbal and written communication skills.
Ability to complete tasks within a context of competing demands.
Demonstrate a good understanding of technical administrative activities relating to Fleet, Vehicle Maintenance & Stores.
Adaptable and responsive to changing priorities.
Good interpersonal skills.
Effective organisational and time management skills.
Computer Skills including knowledge of Microsoft applications.
Ability to communicate with staff and external bodies at all levels.
Attention to detail.
Flexible and adaptable.

Well organised, helpful and able to show initiative.
Be prepared to work in unclean areas of the workshop and stores facilities.
Flexibility to meet the needs and demands of the service as required.
