Duties:
1. Supervising and monitoring the work of administrative staff
2. Based on the front desk, meeting and greeting clients and anyone entering the building
3. Answering the reception phone and transferring calls internally and externally.
4. Attending meetings with senior management and taking minutes
5. Accepting, signing and checking deliveries
6. Attending the Crawley office weekly to ensure everything running smoothly
7. Checking, monitoring and ordering stationery for the office
8. Organising meetings and managing databases
9. Booking accommodation for staff when needed
10. Preparing letters, presentations and reports
11. Binding documents when requested and printing drawings
12. Managing office budgets
13. Liaising with staff, suppliers and clients
14. Implementing and maintaining procedures/office administrative systems
15. Inducting new employees and familiarising them with the plan of the building
16. Dealing with complaints and queries professionally
17. Using a range of software packages
18. Liaising with external Web Designer
19. Performing weekly fire drills
20. Utility and facility management
21. Managing the office cleaners
22. Ensuring that the staff room and kitchen are kept tidy and monitoring kitchen supplies
23. Opening, checking and distributing post internally.
24. Keeping the front desk tidy and clean
Personal requirements:
