Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care. The role ensures accurate data, efficient use of resources and compliance with service targets.
Responsibilities
* Provide administrative support to consultants, clinical staff and patients, including diary administration, correspondence and other duties.
* Open and prioritise incoming post, ensuring supporting information is available and urgently acting in the absence of senior staff.
* Book diagnostic investigations for patients and expedite those in line with the 6‑week diagnostic DM01 pathway.
* Monitor urgent investigation requests to confirm appropriate processing.
* Assist in meeting targets for 18‑week referral to treatment (RTT), 6‑week diagnostic DM01 and 2‑week cancer appointments, escalating or intervening to avoid breaches.
* Maintain a current filing system, filing letters, reports, test results and notes in the correct paper or electronic record.
* Follow tracking procedures for all patient notes.
* Update patient details on CRIS/EPR and other Trust record systems.
* Flag and rebook patients who have not attended or cancelled appointments in a timely manner.
* Request and coordinate patient notes from external hospitals and organisations where required.
Essential Qualifications and Skills
* Experience in a clinical or administrative role.
* Excellent communication skills.
* Proficiency in computer use.
* Professional telephone manner.
Desirable Criteria
* Previous NHS experience.
Other Requirements
* Need to work with vulnerable people in accordance with the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) and Order 2020. A Disclosure and Barring Service check is required.
