Job Description
We are looking for someone with a proactive and flexible approach who is confident managing multiple administrative processes in a fast-paced facilities or projects environment.
The successful candidate will play a key role in supporting contractor engagement, documentation control, and reporting while maintaining a high standard of accuracy and confidentiality at all times.
Key Responsibilities
1. Provide administrative support to the Contractor Management Office (CMO) team.
2. Maintain accurate records including approved contractors, authorised persons, works authorisations, and training and competency documentation.
3. Manage and control contractor risk assessments (RA) and method statements (MS) to support compliance with health and safety legislation.
4. Ensure contractors complete mandatory site health and safety inductions prior to commencing work.
5. Coordinate the weekly onsite contractor schedule.
6. Draft communication notes relating to site works and associated operational impacts.
7. Maintain electronic and manual filing systems, ensuring data accuracy, confidentiality, and regular updates.
8. Assist with the coordination, collation, checking, and presentation of monthly management reports.
Professional and Personal Competencies/Qualifications
9. Experience in an administrative role within a facilities management or projects environment.
10. Knowledge and experience of working with contractors.
11. Strong organisational and planning skills with the ability to meet tight deadlines.
12. High level of attention to detail and accuracy in administrative tasks.
13. Excellent verbal and written communication skills.
14. Self-reliant, confident, and demonstrates a proactive, can-do attitude.
15. Organised and methodical approach to managing administrative systems.
16. Ability to work effectively under pressure.
17. Excellent computer literacy, particularly in Microsoft Word, Excel, and PowerPoint.
18. Customer-focused mindset with strong relationship-building skills.
