Our Residential Sales team here at Bidwells is recruiting a Client and Applicant Care Coordinator on a 12-18 month Fixed Term Contract covering a maternity leave (dependent on start date). Bidwells' Residential team provides an unrivalled service for the sale and letting of a wide range of property, from new homes and period cottages to town and country houses. Each property is handled by a partner or senior agent with expertise, knowledge, and experience of the local market.
The Residential Sales team has a reputation for providing a first-class service to its clients, vendors, and purchasers. The team offers specialist expertise from property valuation to the moving-in day.
What you’ll be doing:
* Being the first point of contact for daily phone and email sales inquiries for the department.
* Managing the department's shared inbox.
* Arranging preview visits, viewings, and surveyor visits, liaising with vendors and applicants as necessary.
* Registering new applicants on the Reapit database and matching their search requirements to available properties.
* Maintaining and cleansing the Reapit applicant database and engaging in regular communication with clients.
* Maintaining, updating, and auditing the key list and alarm sheets for active properties; liaising with vendors for keys.
* Using OneNote to create a property information page for each new listing.
* Supporting the viewing guide team with daily inquiries and updating the viewing diary.
* Adding viewing feedback from sales viewings to Reapit.
* Preparing for completions, including key prep, updating records, arranging champagne, and key release forms.
* Ordering and arranging collections of for-sale boards.
* Maintaining and updating the brochure drawers and back-room filing system.
* Adding new brochures to the comparables filing system.
* Sharing responsibility for creating and posting department social media posts.
* Creating and sending Dotmailers bulletins for new instructions, ensuring accuracy with the sales team.
About you:
* Strong time management skills.

* Ability to work in a fast-paced team environment.
* Excellent client interaction skills, especially via telephone.
* Experience using OneNote, Teams, Outlook, and Word.
