JD.com is seeking an experienced and highly organized Head of Administration to oversee office operations, administrative functions, and renovation projects for our global teams. This role is crucial in ensuring smooth day-to-day office management, optimizing administrative processes, and supporting business operations through effective facility management and strategic improvements.
The ideal candidate will have strong leadership skills, a background in office administration, and experience managing international business operations. This role will be based in London, with potential global collaboration and occasional travel as needed.
Key Responsibilities:
Office Management & Administrative Operations
• Oversee daily office operations, ensuring an efficient and well-functioning work environment.
• Implement and maintain administrative policies, procedures, and best practices to improve operational efficiency.
• Manage office supplies, vendor relationships, facility maintenance, and procurement processes.
• Support executive teams and business leaders with administrative coordination, scheduling, and documentation.
• Ensure compliance with local office regulations, safety policies, and workplace standards.
Renovation & Facility Management
• Oversee office renovation projects, including planning, budgeting, and execution.
• Coordinate with internal stakeholders and external vendors to ensure renovations are completed on time and within budget.
• Manage space planning and office design to enhance productivity and employee experience.
• Ensure compliance with building regulations and health and safety standards during renovation projects.
Operational Efficiency & Process Improvement
• Lead efforts to streamline administrative workflows and enhance operational efficiency.
• Monitor and manage office budgets, expense reports, and cost-control measures.
• Improve cross-functional communication and coordination between teams, ensuring alignment on administrative priorities.
Communication & Documentation
• Draft, publish, and maintain administrative guidelines, office policies, and reports.
• Ensure clear and structured communication across offices, departments, and external stakeholders.
• Support internal documentation and reporting related to office operations and renovation projects.
Qualifications & Requirements:
• 8+ years of experience in office management, administration, or a similar leadership role.
• Proven track record in managing office operations, administrative teams, and workplace logistics in a multinational environment.
• Strong experience in managing renovation projects and facility improvements.
• Excellent organizational, problem-solving, and leadership skills.
• Ability to work in a fast-paced, international business setting with strong stakeholder management.
• Experience with budgeting, procurement, and vendor management.
• Strong written and verbal communication skills; Chinese capability is a must.
