Client & Operations Coordinator
Location: Carlisle
Salary: £30,000 – £40,000 (dependent on experience)
Type: Full Time, Permanent
Hours: 39 hours per week (8:30am – 5:00pm Monday to Thursday, 8:30am – 4:00pm Friday)
About the role
We are recruiting for a highly organised and proactive Client & Operations Coordinator to join a growing and specialist consultancy. The business delivers technical inspection and compliance-led services across a range of sectors, supporting clients with structured reporting and ongoing asset management.
This is a central role within the business, responsible for coordinating projects, managing client communication and supporting the progression of enquiries through to quotation, delivery and reporting.
This position also combines elements of sales coordination, process improvement and client relationship management, working closely with senior leadership to support continued growth.
Key responsibilities
Operations and project coordination
• Coordinate project schedules with operational teams
• Arrange site access and manage logistics
• Ensure teams are prepared for site activity
• Track progress of inspections and reporting
• Manage multiple projects, ensuring timelines and client expectations are met
Client communication
• Act as first point of contact for enquiries
• Respond to client queries in a timely and professional manner
• Provide updates on project progress
• Maintain strong client relationships throughout the lifecycle of each project
Quotations and fee proposals
• Prepare quotations and fee proposals
• Support tender submissions
• Track and follow up on proposals
• Support conversion of enquiries into confirmed work and longer-term agreements
Sales pipeline and CRM support
• Log enquiries within the CRM system
• Maintain accurate pipeline records
• Schedule and manage follow-ups
Project setup and systems
• Set up projects within internal management systems
• Upload drawings and relevant documentation
• Maintain accurate and up-to-date project records
Reporting and administration
• Prepare reports for issue
• Maintain document control and version accuracy

• Highly organised and proactive

• Able to manage multiple projects simultaneously
• Comfortable working in a fast-paced environment
• Strong document management skills with a high level of accuracy
Experience
Essential
• Experience in a coordination or project support role
• Strong communication skills
• Proficient in Microsoft 365
Desirable
• Experience within a construction or consultancy environment
• Understanding of technical drawings or compliance-based work
• Experience preparing quotations
• Awareness of health and safety requirements within operational environments
