Full Time - Dundee

At Thorntons Law, every moment matters. Join our Document Management team as an Administration Assistant and you’ll feel inspired. You’ll feel connected. You’ll feel like you belong. And it all begins from the moment you join us.

That’s because we’ve created a different kind of law firm. Here, you’ll build relationships with clients and colleagues that really last. You’ll help shape what happens now, and what comes next.

And we’ll support and encourage you to be the best you can be.

This is what life at Thorntons is all about. And this is your moment to be part of it.

About the role

In this role, you’ll be part of the Document Management Services team, ensuring the efficient management and organisation of legal documents and records. You will be responsible for various tasks related to document processing, filling, retrieval and archiving. Are you organised, detail-driven, and passionate about keeping things running like clockwork?

It’s about:

* Administrative Support – delivering excellent administration support to colleagues and the wider firm to ensure all tasks are completed and run smoothly.
* Documentation Management – managing, sorting and processing incoming documents including correspondence, principal documents, title deeds, wills, contracts and other legal materials and inputting them into the firms electronic document management system accurately and efficiently.
* Legal Support – Assist lawyers, paralegals and other staff in retrieving and accessing documents, following established procedures and protocols.
* File Administration – maintain physical filing systems, ensuring that documents are filed and organised according to the firm’s filling standards and retention policies.
* Confidentiality management – adhering to data protection policies when handling sensitive or confidential information, ensuring compliance with regulatory requirements and ethical standards.

What you’ll need

We’re looking for:

* An eye for detail and a commitment to accuracy when working with documents and data.
* Brilliant organisational and time management skills, with the ability to prioritise and juggle tasks in a busy, fast-moving environment.
* Strong communication skills—both written and verbal—along with a confident, approachable, and professional attitude when engaging with colleagues and clients.
* A positive, team-oriented mindset and the flexibility to support others and step in where needed.
* A willingness to learn—you're open to learning new tools and processes and developing your skills in legal document management.
