Context
Medow Well Connected currently provides a range of services from The Meadows Community Centre and Community Gardens, along with the aim of tackling the inequality which exists within the area and to support communities to become more resilient and aspirational. We aim for our services to be responsive to the needs of those we serve and aim as an organisation to remain agile and innovative within an ever-changing and challenging environment.
As `our organisation develops its 2026 – 2029 strategic plan, this is an exciting time in which the community, trustees, staff and volunteers continue to shape and drive forward the future of service delivery for the individuals and families that it serves in Meadow Well, Percy Main and the wider North Tyneside area.The post holder therefore will be required to have a good understanding of the political and funding landscape and be able to form good stakeholder relationships.
We therefore require an exceptional individual to lead and motivate a committed team of staff and volunteers. The post holder will be a highly organised individual who thrives in a fast-paced environment.The Operations Manager will be a strategic thinker and leader with ambition and the commitment to delivering high quality services underpinned by robust systems.
Job purpose:
The post holder will work closely with the Chief Officer and be part of the Senior Leadership team and governed by our Board of Trustees.The post holder will line manage front line delivery staff and other roles as directed by the CEO.
The post holder will be tasked with overall management of Meadow Well Connected operational services which includes a diverse portfolio of work.
The post holder will be responsible for the effective development and delivery of these services ensuring KPI’s are met and that Meadow Well Connected is contractually compliant, and that all activities are in line with our Strategic Plan with a focus on continued performance improvement.
Budget control will be a key part of this role, using Aedon, our finance software to monitor grant spend and budgets alongside data management oversight using Evide our CRM system.Working closely with the Chief Officer and Finance and Administration Manager, you will be responsible for organisational input of data and its translation into impact statements/measurement.
Key responsibilities and duties (not exclusive)
Governance and systems
·To work alongside with the Chief Officer and wider and Senior Management Team to oversee the development and implementation of Meadow Well Connected strategic plans
·To ensure all policy, procedure and administrative systems are adhered to contributing to safe governance
·To work closely with the CO and Finance and Administration Manager, contributing to key business development supporting the shaping of bids and tenders
·Prepare, monitor and update client records in Evide and other relevant systems in accordance with organisational policy and funders requirements.
·Carry out regular quality assurance audits on Evide and other relevant systems to ensure all records are maintained to a high quality in line with organisational policy and contract and funder grant requirements.
·To deliver and report on Key Performance Indicators for the Senior Management Team and Board of Trustees.
·To be a proactive member of the Senior Leadership Team
People and Culture
·To lead the team working within the community development function and other front-line staff as agreed with the CO.
·In partnership with the CO and Finance and Administration Manager plan and lead recruitment process for operational staff ensuring all pre-employment checks are in place prior to recruitment, induction plans are robust and meet the requirements of the role and to ensure an effective probationary period is in place with key milestones and objectives set out and agreed with the staff member.
· To oversee a clear training and development strategy to support the continuous professional development of all staff and volunteers ensuring relevant training is identified and available for new and existing staff and to contribute to the wider training development plan for the organisation.
·Coordinate grant funded projects by having an overview of the project targets and outcomes and giving direction to the community development team and other front-line staff involved.
· To ensure all colleagues you have line management responsibility for are trained and confident in the use of Evide CRM and routinely input necessary information on individual clients, projects and outcomes.
·To provide regular supervision and appraisal to all line reports, ensuring personal and professional training needs are met and that a strong team ethic and commitment to cross project working exists.
·Performance manage underperforming staff in line with organisational policy.
· To ensure all sites/services/teams/volunteers are compliant with all Health and Safety and Wellbeing policies and that sites/people have relevant H&S checks in place.To maintain accurate recording of all incidents.
·To maintain up to date and HR, Supervision and DBS records on staff and volunteers.
·To maintain an up-to-date register of up-to-date records/data regarding training and development needs of staff and volunteers.
·To oversee the development of our volunteering offer in partnership with the Volunteer Coordinator.
·To act as a role model within the organisation and to uphold and ensure the values of the organisation are displayed in all of Meadow Well Connected activities and practices.
·To convene and chair team meetings, attend and chair other organisational meetings as required and to ensure all actions are completed to set timeframes.
Contract and Stakeholder management.
·To provide overviews and in-depth project analysis reports when required to the CO and Board of Trustees which set out clear outcomes and impact.
·To develop project reports as required for grant funders and contract commissioners.
·To build positive relationships with all stakeholders including Trustee’s staff & volunteers, strategic and operational partners, contract managers and other funders.
·To attend external and multi-agency meetings as required, representing Meadow Well Connected and promoting the work undertaken by the organisation.
· To engage with other VCSE organisations, statutory agencies and local businesses to create positive co-developed programmes to support participants of Meadow Well Connected services, and to develop corporate social responsibility and partnering strategies, relationships and opportunities.
Finance and Business Development
· Work in accordance with our Finance Policy and Procedure to ensure maximum value achieved within allocated budget.
· Support in the setting of the annual budget and undertake day to day management of project budgets.
·To have financial oversight and responsibility for designated projects within your portfolio and be able to report to the senior management team accurately in regard to performance, opportunities, risks and mitigation plans
·To work closely with the CO and Finance and Administration Manager in the design and costing of new services.
·To work with the Senior Leadership Team and colleagues across the organisation to develop a business plan in line with our strategic objectives and the needs of the people in Meadow Well and Percy Main.
· Identify and develop business streams which can strengthen and create stability for Meadow Well Connected.
·Writing and reviewing and reporting on a proportion funding bids
·To coach and support co-ordinators with project financial management ensuring a robust approach is taken to financial governance.
·To ensure day to day oversight in in place to assure the organisation that organisational data management systems are being used effectively, ensuring that high quality standards are met, all outcomes are captured and recorded, reported on accurately to both the organisation and to commissioners and provide up to date, accurate and timely reports, and invoicing data for all projects within the portfolio
Other Duties
· Carry out duties with due regard to MWC’s Equal Opportunities Policy, and to ensure all staff are aware of their responsibilities and discharge them.
· Deputise for the Chief Officer as required.
· To work flexibly within and on behalf of the charity and its enterprises
· To make a significant and demonstrable contribution year-on-year to the advancement of the charity’s interests and be active in raising the service standards year-on-year.
· To discharge at all times allocated tasks and responsibilities in a positive, helpful and convivial manner, and to present and provide a welcoming, supportive and professional service.
· To act as an ambassador and representative of Meadow Well Connected at a strategic and operational level which may include presentations and public speaking including media interviews
· Any other duties that can be reasonably expected.
