Property Secretary

As a Property Secretary, you will provide comprehensive secretarial and paralegal support to the department, ensuring the smooth running of files and delivering an exceptional standard of client care. This is a key role within the team, supporting the Head of Department and Fee Earners across a wide range of property matters.
Key Responsibilities
· Preparing correspondence and legal documents via audio typing and word processing
· Managing client files including daily filing, opening/closing files, and retrieving archived documents
· Preparing outgoing mail and ensuring all enclosures are correctly attached
· Chasing search results, setting reminders for key dates, and supporting proactive file progression
· Acting as a point of contact for clients, solicitors, lenders and third parties
· Managing matters from exchange through completion and supporting post‑completion formalities
· Assisting with purchase, sale, remortgage and transfer of equity matters
· Handling incoming calls professionally and taking accurate messages
· Completing general administrative duties to support the smooth running of the team
· Assisting with completion statements, billing, accounts queries and postings
· Preparing, formatting and editing documents
· Undertaking basic legal research for the Head of Department
· Supporting additional tasks as required within the department
What We're Looking For
· Experience within Residential, Commercial and/or Agricultural Property
· Strong organisational and multitasking skills
· Excellent communication skills – written and verbal
· High attention to detail and commitment to producing quality work
· The ability to work independently and as part of a close‑knit team
· Reliability, professionalism, and the ability to hit the ground running
