Guest Services Coordinator
Mitie – Signature Front of House – your first point of contact for clients, visitors and colleagues.
Reporting to: Guest Services Manager.
Hours: 40 hours a week, Monday to Friday.

Role Summary
As a Corporate Receptionist and Guest Services Coordinator you will:
* Greet visitors with a warm and friendly demeanour and attend to their needs promptly.
* Answer and direct incoming calls efficiently and courteously.
* Maintain a clean, organised reception area and manage front‑of‑house stock.
* Provide safety briefs, fire warden training and assistance during building evacuations.
* Support team events, training and health & safety posting.
* Collaborate with Security, FM, WPM and administrative staff to ensure smooth operations.
Main Duties and Responsibilities
* Reception Desk Management
o Provide site safety brief to all sign‑ins.
o Assist with client events and weekly stock checks.
o Train new and temporary team members.
o Keep health & safety posters up to date.
* Security Awareness
o Control premises access and issue visitor badges.
o Monitor premises for suspicious activity and report concerns.
* Customer Service Excellence
o Anticipate and address client, guest and employee needs.
o Resolve inquiries promptly and professionally.
* Administrative Support
o Sort mail, manage courier deliveries and book meeting rooms.
o Respond to the reception inbox in a timely manner.
o Maintain electronic and physical filing systems.
o Support other departments with ad‑hoc duties as needed.
* Uniform Standards
o Adhere to company uniform guidelines and grooming standards.
o Serve as an ambassador for Mitie through appearance and demeanour.
* Guest Service – Coordinator Duties
o Support workplace management with fire alarm testing.
o Conduct kitchen and meeting room checks and keep supplies stocked.
o Manage printer paper, ink and first‑aid boxes.
o Report maintenance and cleaning issues during floor walks.
o Complete weekly checks of fire extinguishers, doors and building induction.
* Company Policy & Training
o Read and sign the site SOP & Uniform standard.
o Follow absence management and mandatory training processes.
Person Specification
* Experience
o 2 years’ previous customer service experience within a reception, switchboard or room booking environment.
o Qualified First Aider or willingness to undertake a course.
* Skills and Knowledge
o Strong written and verbal communication.
o Proficient with MS Outlook, Word, Excel and PowerPoint.
o Excellent organisational and multitasking abilities.
o Composure and professionalism in fast‑paced or challenging situations.
* Education or Certification
o 2 years reception/administration experience (beneficial but not required).
o A Level or equivalent.
