Personal Assistant
Working hours: This role is available on a part-time, job-share or full-time basis.
Location: Farnborough with travel to Birmingham, London and Fareham

The opportunity: Are you an experienced Personal Assistant or someone with extensive administration experience, looking to take the next step? Zurich Municipal are looking for an organised and personable individual to provide personal assistance to members of the leadership team. Ideally you will have some PA experience, but most importantly, we need you to be organised and confident, with strong IT and administration skills.
What will you be doing?
* Provide day-to-day support to a minimum of 2 Senior leaders including diary management, travel arrangements, meeting coordination and other activities
* Perform confidential administrative work including timely responses to emails
* Organise and prioritise own assignments to ensure timely and accurate completion of work
* Helping to manage priorities and schedules to keep things running smoothly
* Prepare expense reports and handle payments for expense items
* Greet and direct internal and external guests and handle internal customer and employee enquiries
* Support in producing presentations in advance of internal/external meetings and attend meetings to capture minutes/actions where appropriate.
* Compose routine and non-routine correspondence from brief notes, oral or written instructions
* Identify and comply with the main principles relevant to legal and regulatory controls that govern standard work practices
* Monitor business processes in order to identify opportunities for improvement
* Coordinates travel logistics using the Egenciatool
* Supports various HR processes
* Supporting communication between the Senior Leaders and internal teams
* Provide support to wider team members when necessary
Who are we looking for?
* Previous experience within a PA or administrative role
* Administration skills, along with knowledge of PowerPoint, Microsoft Word, Microsoft Excel, and Outlook
* Ability to work with minimal supervision and in a demanding environment
* High levels of accuracy and strong attention to detail
* Proactive individual with effective communication, problem solving and relationship management skills
* Appreciation of importance of maintaining confidentiality
* Strong network of support (or ability to quickly build one) and able to find ways to get things done
