Overview
To provide a comprehensive administration function/secretarial role to the Deputy Chief Nurse and other Senior Managers within the team. To oversee the workload of direct reports (Administrative staff Band 3) within the Safety and Quality team and build positive working relationships with all team members, ensuring capability and capacity. Complete appraisals and regular supervision, ensuring any leave is recorded. To provide efficient administrative support to the Nursing, Safety and Quality teams in accordance with Departmental, Trust and National standards, policies and procedures. The post holder will be expected to use own initiative and able to work unsupervised, plan and manage a range of complex duties, organise own work to meet deadlines and respond professionally to enquiries both internal and external to the Organisation. To raise POs on the Integra system and keep a record of all spending made.
Responsibilities
* Provide a comprehensive, efficient and professional PA support service, supporting the Deputy Chief Nurse and wider Senior Management Team, in collaboration with the Nursing, Safety and Quality team.
* Line manage the Band 3 administrators, prioritise workloads, complete regular supervision and appraisals, and record leave taken.
* Manage the Deputy Chief Nurse's diary and meetings, demonstrating high levels of organisation and coordination.
* Monitor work requests delivered to a joint admin inbox and ensure tasks are completed accurately and timely.
* Prepare agendas, collate attachments, attend meetings, take accurate minutes and maintain action trackers.
* Assess, prioritise and organise own workload to meet deadlines and perform duties efficiently.
* Ensure the delivery of a comprehensive administrative support service.
* Provide administrative services to the Nursing, Safety and Quality Team including word processing, drafting and producing reports/letters/business documents, and follow up on actions.
* Support senior leaders by organising and taking minutes for their meetings, maintaining up-to-date action plans and managing attendance.
