We are looking for a Contract Administrator to join our Building Services team in London.
Working as a Contract Administrator you will be responsible for ensuring that the buildings conform to all legislations whilst remaining functional to all stake holders. Ensuring that all issues are dealt with in a timely manner whilst fully communicated out to all parties. Implementing all activities, direct or sub-contractors ensuring all targets are achieved. Log all financial data and assist commercial teams in the review of budgets.
What you’ll do:
1. To support the Manager and the Commercial team and always providing a professional service.
2. Collating financial information for site Manager and Commercial Team.
3. Paying subcontractors in line with prompt payment charter including requesting regular statements of account to keep on top of payments.
4. Assist with monitoring cost accruals.
5. Assisting with mobilisation/de-mobilisation of contracts (final accounting sub-contractors) when required.
6. Raising orders / general procurement to include requisitions (in oracle) and recommendation forms.
7. Understanding the contract, including scope and terms and conditions.
8. Keeping accurate financial records and ensuring these are continuously up to date.
9. Reconciling costs that hit the contract including auto receipted suppliers – costs to be captured on cost log.
What you'll bring to the role:
10. Experience of working in the maintenance industry
11. Experienced in CAFM systems
12. An experienced, well-presented and confident person, capable of working on own initiative and providing a professional service to Clients.
13. A mature attitude, with the ability to communicate at all levels.
14. Ability to prioritise and organise workload effectively.
15. Experience of working with FM Contracts, Commercial Contracts / Construction contracts
16. Working knowledge of FM Sectors or comparable experience preferred.
