Closing Date 2025-07-10 Job Title: Document Controller Location: Falmer (Hybrid Working) Salary: from £30k Southern Water’s Capital Delivery programme is investing hundreds of millions in the region’s water and wastewater infrastructure. For those projects to land on time and on budget, every drawing, contract, risk log and report must be at everyone’s fingertips—version-controlled, compliant and crystal-clear. That’s where you come in. This is a pivotal role from day one—lost documents cost our projects valuable time, and you’ll be the person who gives that time back to engineers, project managers and partners by ensuring everything is where it should be. You’ll also have the chance to influence our digital agenda, working closely with the Digital Solutions team to help shape the next generation of our Common Data Environment (AMP8 CDE), making sure information flows seamlessly from site to boardroom. For the right person, this role offers a genuine springboard into a project management career, with exposure, training and mentoring to help you move into coordination, PMO, or project leadership when you’re ready. Job Overview You’ll take ownership of maintaining and managing key project documentation within our Common Data Environments (CDEs), ensuring accurate, up-to-date, and easily accessible information at all times. Working closely with project teams, engineers, and stakeholders to streamline the flow of critical data, helping to improve efficiency and reduce time lost due to document errors or misplacement. This is more than just a coordination role—it’s a chance to play an active part in the digital transformation of our Capital Delivery portfolio and support continuous improvement in how we manage project information. Responsibilities will include: Maintain and update key project documents within Common Data Environments (CDEs) such as ProjectWise, Business Collaborator, CEMAR, and PIM, ensuring all files are accurate, up to date, and accessible. Monitor and control the submission and distribution of project data and deliverables, ensuring compliance with Capital Delivery Assurance processes and document control procedures. Collaborate closely with project teams and stakeholders to support the effective delivery of key documentation and communications, in line with Capital Delivery and Communications Team standards. Support continuous improvement initiatives by contributing to the development of the digital solutions roadmap and helping enhance CDE workflows and procedures. Coordinate and deliver training sessions to ensure teams across the business are confident and capable in using the CDE systems and adhering to document control processes About You We’re looking for someone with proven document control experience and the confidence to take ownership of processes from start to finish. You’ll have a sharp eye for detail—spotting issues even when they’re as small as a single character out of place—and be highly computer literate, with strong skills across Adobe Acrobat and the Microsoft Office suite, including Excel, Word, Project, PowerPoint and Visio. Just as important are your communication skills and ability to build strong working relationships with engineers, project managers, and senior stakeholders. You’ll bring a proactive, accountable approach—someone who sees a problem, fixes it, and constantly looks for ways to improve. It would be a bonus if you’ve worked with systems like ProjectWise or Business Collaborator, have experience with quality frameworks such as ISO 19650 or ISO 9001, or an interest in project management methodologies like PRINCE2 or Agile.
