Overview
The Tenders and Contracts Manager is a pivotal commercial leader across the company, supporting all aspects of customer-facing contracts from pre-tender through to contract completion. This includes managing tenders, negotiating terms, ensuring compliance, and overseeing contract delivery and performance. The role is not an adminstrative function but requires strong coordination skills and is instrumental in ensuring that Werfen secures and delivers contracts effectively, particularly in collaboration with primary contractors and third parties.
Responsibilities
Key Accountabilities
1. Reporting:Directly to the Head of Contract Management.
2. Tender Lifecycle Management.Deliver the end-to-end process for tenders and contracts, from pre-tender preparation to post-award execution and closure.Coordinate and execute tender offers, negotiate terms, and ensure timely submission of compliant bids.Oversee cross‑functional tender project management, ensuring all departments contribute effectively and to deadlineDraft, review, and manage contractual documentation, including extensions and amendments.Identify risks within the tenders we are applying to and contracts we are inSupport the provision of realistic forecasts for business and financial planningDevelop “Bidding” utilisation for revenue and profit managementConstruct answers to the social value and sustainablity sections of all tendersDelivery of Tendering strategy
3. Working with Primary Contractors and Framework Providers:Obtain effective tender offers and negotiate terms.Provide contractual documentation as required.Support the sales teams on the architecture and delivery of all frameworks providing support and guidance on all procurement routes.
4. Contract Monitoring and Delivery:Support the implementation and performance of contracts, ensuring delivery against agreed KPIs and service levels.Collect data and report on all contractual KPIs by their agreed deadlinesFor Managed Service contracts, collaborate with Primaries and 3rd parties against agreed measures and hold suppliers accountable to those measures.Support all contractual processes including Quarterly Reports, delivering them to customers where appropriateEnsure robust processes for CPR contracts are being developed and adhered toWork with the Implementation Manager to ensure the route from implementation to BAU in all contracts is smooth.Be a point of escalation for Area Account Managers for contractual queriesDeliver contract 1:1 reviews with all Area Account Managers.Provide support in negotiating with NHS Procurements
5. Change Control Management:Manage change control throughout the contract lifecycle.Execute exit strategies where contracts are concluding.
6. Interdepartmental Relations:Collaborate with each Business Unit to grow overall sales and market share for Werfen products.Maximize revenue, profit, and company image through tenders, contracts, and new business opportunities.Represent the company and its products in partnership with Business Units to customers and partners.
7. Business Development:Maintain and develop current business while identifying new opportunities in line with business objectives.Proactively propose actions to the management team to maximize these opportunities and drive up operating income.Identify new processes to be more efficient and reduce costsUtilise AI modelling to improve tenders and contract management
8. Contract Management Processes:Assist in developing sound commercial processes that meet corporate/business area goals and metrics.Utilise appropriate contractual templates and service levels for third-party suppliers.Drive continuous improvement across tender and contract processes, including the implementation of AI‑supported tender optimisation, pricing intelligence, and automated KPI insights.Lead initiatives that improve operational efficiency and enhance the organisation’s commercial competitiveness.Develop and maintain clear KPI dashboards and reporting for contracting performance across all business units

Qualifications
Minimum Knowledge & Experience required for the position
10. Degree/studies
11. A minimum of 5 years business or related experience.
12. Procurement and/or commercial experience in diagnostics
13. Proficient computer skills, including Word, Excel, PowerPoint, SAP and other corporate tools.
