Main duties of the job
Key Responsibilities
* Knowledge of a full range of secretarial procedures and software programmes through RSA3/NVQ3 or equivalent experience
* To be able to use SystmOne, the Trust’s electronic health record system
· Ensure a full, efficient and Secretarial / Administrative service is provided.
· Provide comprehensive personal assistant support.
· Set up the necessary systems for the office and adapt these as necessary within the developing role.
· Manage heavy diary commitments to enable smooth running of the schedule.
· Ensure high level of confidentiality especially with regard to client related work.
· Ensure letters, memos and reports from the Department are of high quality.
· Responsible for ordering items, checking within budgets, ensuring goods are received
· Responsible for disseminating information to all qualified and unqualified staff in a timely manner.
· Supervise and monitor return of requested information, documentation and work streams from the operational team to the office to ensure effective workflow.
· Provide cover for other Secretarial / Administrative staff when required
· Organise meetings as appropriate including preparing the agenda, obtaining and compiling and preparing support papers.
· Organise workshops as appropriate including booking

Qualifications
* 5 GCSE's C or above
* Further education or training in administration/personal assisstant
Experience
* 4 years experience using word
* 2 years experience working at a senior administrative level
* 2 years experience supervising and appraising administrative staff
* Experience handling confidential information
* Previous experience in administration in a healthcare setting
