Job summary:
The Sales Support role is responsible for tasks related to sales and purchase processes, such as contacting vendors for cost quotes, preparing purchase orders and related documents for sales, purchase, and delivery, and maintaining project tracking. Additionally, supporting payment processes and stock records.
Job Responsibilities:
1. Prepare quotations for customers using Excel.
2. Understand requirements and obtain costing from vendors and presales teams for quoting.
3. Assist in customer and vendor creation when required.
4. Attend meetings with sales teams, providing Vietnamese translation when needed.
5. Manage and update customer, supplier, and vendor information, including qualifications and credit limits.
6. Handle sales orders, project files, control lists, and related documentation.
7. Maintain and update partner systems and deal information.
8. Process orders from creation to billing and project closure in Excel.
9. Coordinate with suppliers regarding equipment arrival and expedite deliveries as needed.
10. Prepare customs declaration documents and coordinate with logistics and technical teams on delivery and implementation schedules.
11. Coordinate with customers on delivery, billing, and other issues.
12. Work closely with technical teams on projects and service teams on maintenance and renewals.
13. Follow up on project milestones and closures weekly.
14. Prepare weekly cadence and project tracking reports in Excel.
15. Assist with submission templates and submissions via hardcopy or softcopy.
16. Ensure timely submission by coordinating with vendors, presales, and sales teams.
17. Manage monthly bookkeeping and accounts.
18. Follow up on project payments and updates.
19. Maintain stock inventory records.
Role Requirements:
1. Majoring in accounting, business administration, or related fields.
2. 2-3 years of experience in a similar role or in the IT industry.
3. Good communication and analytical skills.
4. Proficiency in Mandarin is a plus.
5. Knowledge of Excel and Microsoft systems.
6. Proactive, team-oriented, service-minded, and personable.
7. Ability to work under pressure in a fast-paced environment.
