Join Our Dynamic Team as an Office Manager!


Are you a proactive organiser who thrives on keeping an office running seamlessly? We're looking for a Facilities & Office Manager to take ownership of our workplace environment, ensuring everything from building systems to team support runs smoothly in our vibrant architecture studio. This is a pivotal role where you'll combine hands-on facilities management with office operations, creating a safe, efficient, and inspiring workspace for our team.


About Us:
We are an award-winning architecture studio dedicated to delivering exemplary architecture, masterplanning, and interior design.


Location:
Southwark, London - Closest station is Elephant & Castle (Fully office based)


What We Offer:



1. Competitive annual salary ranging from £50, to £55,

4. Rotating shift pattern (8:00am-4:30pm / 9:00am-5:30pm)



Your Role:
As our Office Manager, you will report directly to the Finance Director and oversee the day-to-day operations of our office. Your multifaceted responsibilities will include:


Office Management



5. Ensure efficient office operations, managing supplies, equipment, and vendor relationships.

6. Handle general administrative duties: scheduling meetings, managing calendars, and travel arrangements.

7. Maintain office policies and ensure compliance for a productive work environment.

8. Be the friendly first point of contact for visitors, clients, and vendors.

9. Continuously monitor and improve office procedures for maximum efficiency.



Facilities Management



10. Oversee all building systems, ensuring functionality and safety.

11. Manage cleaning services to maintain high standards of hygiene.

12. Supervise contractors and respond promptly to facility-related emergencies.

13. Coordinate maintenance schedules and space planning activities.

14. Implement sustainability initiatives to enhance our workplace.

15. Act as the key point of contact for building management, contractors, and suppliers, ensuring issues are resolved quickly and effectively.

16. Oversee all building systems (HVAC, IT infrastructure) to maintain functionality and safety.

17. Serve as the 24-hour emergency contact for facilities and security matters.



Health & Safety



18. Act as the go-to person for health and safety matters.

19. Review risk assessments and keep health and safety policies up to date.

20. organise training and emergency preparedness plans for staff.



Management of Admin Team



21. Lead and mentor the administrative team, fostering a positive culture.

22. Allocate tasks efficiently to ensure smooth workflow.

23. Conduct performance reviews and training sessions regularly.



Human Resources Support



24. Assist with recruitment processes and onboarding of new employees.

25. Maintain employee records in compliance with legal standards.

26. Serve as a point of contact for HR queries.



Key Skills Required:



27. Strong organisational and time management abilities

28. Excellent written and verbal communication skills

29. Proficiency in Microsoft Office Suite

30. Familiarity with HR software and databases

31. Detail-oriented with a focus on confidentiality and accuracy



The Ideal Candidate will be:



32. People-oriented

33. Experienced in managing teams (especially. admin teams)

34. Well-rounded facilities management knowledge

35. Health & Safety experience (policies, compliance, training)

36. Understanding of ISO auditing principles

37. Confident communicator & relationship builder

38. Ideally with previous HR experience or capacity to cover HR Manager as needed

39. Willing and able to be on-call for emergencies/security issues
