We are looking for a Home & Gift Buying Administrative Assistant to join Team OB in our Support Office. This role will be a 12-month fixed-term contract. As a Buying Administrative Assistant at OB you will play an integral role in range development, including both product development and branded selections, by providing administrative support for products from conception through to product launch. You will have overall responsibility for managing the department samples and range guides along with general administrative tasks to support the department. Our Support Office is based in Tolworth, near Chessington, only a 30-minute journey from London Waterloo. We offer hybrid working with a split of 3 days in the office and 2 days home working per week, and are open to having conversations about working flexibly. More about the role … An OB Buying Administrative Assistant will: • Be responsible for all general admin tasks involving filing, emailing and organising courier deliveries • Monitor and maintain critical path daily in connection with product shipment and escalate any problems, notifying the buyers of any issues • Maintain samples library and ensure all samples arrive within required deadlines for sign off meetings, press shows and photo shoots • Manage historic samples and take them to QC for sample sale at appropriate times • Maintain department logs and update spreadsheet and databases on a daily basis • Review pre-production samples with the Product Technologists • Raise and track orders, ensuring correct information has been received from suppliers and orders are received on time • Log relevant information in the range plan and visual range guide • Maintain a comprehensive and accurate supplier database, ensuring all details are up to date at all times • Manage all incoming and outgoing post for the team, ensuring parcels are removed from the warehouse area in a timely manner • Work with the shipping team to ensure all product is approved to ship on time and feed any issues back to the Assistant Buer and/or Buyer Bonas Benefits: • Generous employee discount up to 50% off all OB products • Free access to our 24 hour employee assistance programme with Care First – offering financial, emotional and vocational support • Flexible holiday – 30 days (including bank holidays) – increasing to 35 days with length of service • Annual discretionary profit related bonus scheme • Auto-enrolment into our pension plan • Free access to our onsite gym • Cycle to work scheme • Refer a Friend incentive • Quarterly free lunch • Enhanced maternity, paternity, adoption and shared parental leave • Equity, Diversity and Inclusivity Voice network and EDI team • Mental Health First Aider support • Education and support through 360L eLearning platform What we look for: • Experience within the retail and/or buying industry would be an advantage • Proficient in various computer, with advanced capabilities in system usage, coupled with intermediate proficiency in Excel, Outlook, Word, and PowerPoint • Work with care and attention to detail • Speak clearly to individuals and small group groups you do not know • Listen to others and record important information • Set goals, ordering and prioritising tasks to achieve them • Keep trying and stay calm when something goes wrong • Explore problems by creating different solutions Equity, Diversity & Inclusion at OB At Oliver Bonas, our promise is to do our bit to make living a joyful experience and give cause for optimism.
