We are seeking a full-time Product Support & Materials Coordinator to join our team in Nottingham. The Hardware Product Support & Materials Coordinator will be required to work 37.5 hours per week.
This is a hybrid position requiring 3/4 days per week on site and the other days will be home based.
What you will do:
1. Ordering of stock, and chasing overdue/incomplete orders
2. Meeting supply chain objectives.
3. Supporting Industry standards recognition such as ISO
4. Hardware Demand planning, working with the wider business
5. Performing complete inventory checks of all stock and supplies
6. Assessing and improving flows of supplies through companies.
7. Ensuring all documentation related to inventory flows is complete, accurate and filed correctly.
8. Identifying, analysing and addressing gaps in inventory processes.
9. Reporting to management
10. Recording and notifying discrepancies between physical counts and computer records.
11. Developing or improving inventory management procedures.
12. Ensuring goods in and out are recorded correctly
13. Compiling reports upon request
14. Arranging courier and post deliveries
15. Signing for and checking in-bound deliveries
16. Preparing, checking and creating documentation for inventory control
17. Safe packaging and storage of products and parts, in line with company procedures
18. Maintaining inventory stock control of components and products within base office, including hardware parts stock handling and serial numbering, system reconciliations and ongoing maintenance, reporting, stock tracking & month end closure
19. Raising Purchase Orders and Requisitions where necessary
20. Raising customer invoice requests
21. Point of contact for finance based remotely
22. Assisting with the commissioning, testing and sign off of built products at base
23. Assisting with fault diagnosis and repairs at base.
24. Updating and monitoring support tickets via the helpdesk system.
25. Dealing with clients directly face to face, via telephone and email in a professional and courteous manner.
26. Working at base in a safe and professional manner.
27. To establish and maintain productive, professional relationships with customers.
28. To provide the manager and colleagues with updates on the progress of their own work and any further information that may be required.
29. To prioritise and manage their own workload according to priority of orders and installation schedule as dictated by the line Manager
30. Office administration
31. Keep stock of office supplies and place orders when necessary
32. Manage phone calls and correspondence (e-mail, letters, packages etc.)
33. Create and update records and databases
34. Submit timely reports and prepare presentations/proposals as assigned
35. Assist colleagues whenever necessary.

Qualifications we prefer:
36. Previous experience working in an office support role
37. Comfortable using computer systems to update stock records, documentation and reports
38. MS Office Suite
39. Good organisation skills and strong attention to detail
40. Confident communicating with suppliers, customers and colleagues by phone and email
41. Able to prioritise tasks and manage own workload in a busy environment
42. Experience with general office administration and accurate record keeping
43. Willingness to support wider team activities when required
