As the Office Manager, you will be the first point of contact for customers, visitors, and service professionals. Your role is pivotal in maintaining a professional and welcoming environment while ensuring the smooth operation of the office.
What will I be doing?
Answering telephone calls, directing them appropriately, and gatekeeping when necessary.
Greet and welcome guests, visitors, and service professionals, offering refreshments and helping them as needed.
Keep company phone numbers and extension lists up to date on outlook
Be fully conversant with the documented Reception procedures and report any exceptional issues affecting the smooth running of the office
Assist the other departments in general administrative duties.
Responsible for office stationary and consumables management, including ordering and monitoring stock levels
Support the meeting room booking process within the Rushmere facility
Manage the postal requirements for the group, from postage / courier arrangement to distribution of incoming post.
Support organisation of company events
Manage local meeting requirements (meals, equipment etc for rooms in use)
Oversee contract work re cleaning, security, catering provision is provided as required
To work in a manner that actively seeks to reduce any negative environmental impact in relation to the processes and procedures operating within their area and across the wider business e.g. reduction of waste, recycling etc.
What will I need to have?
Previous experience in receptionist role/customer facing or administrative role
Good telephone manner
Well presented, open and friendly approach, articulate
Ability to manage a switchboard
