The Medical Specialties Division is seeking a full‑time Administration Coordinator to support Rheumatology on a fixed‑term contract of 12 months due to limited funding. The role requires strong communication, IT skills, and the ability to prioritise workload while supporting the team and service demands.
Main duties of the job
The postholder will work closely with all administrative and clinical team members, including medical staff, allied health professionals, and support workers.
They will act as the first point of contact via phone and email with patients, relatives, GPs, and external staff.
Responsibilities include: managing the Rheumatology team’s front‑door presence, assisting patients with queries and ongoing care, booking appointments, scheduling, and developing processes to support the team.
The post reports to the Rheumatology Administration Team Leader and contributes proactive solutions for routine challenges.
Person specification
Knowledge and Qualifications
- GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of administrative procedures gained through training and/or previous experience.
- Awareness of confidentiality requirements and the Data Protection Act.
- NVQ Level 4 in Business Administration, Customer Service or Healthcare Support Services, or equivalent qualification.
Experience
- Experience working in a non-routine environment with problem‑solving skills.
- Experience in a customer‑facing environment, resolving queries and using initiative to provide first‑class service.
- Previous NHS experience or working in a healthcare setting.
Skills and Abilities
- Advanced keyboard skills and competent use of IT.
Communication
- Ability to communicate clearly and sensitively with patients, including those with barriers to understanding.
Personal and People Development
- Capability to work independently, manage own workload, prioritise tasks, and allocate work appropriately to others.
