Responsibilities
:
Executive Assistant:
1. Supporting several Partners and Directors across different service lines in a variety of tasks including but not limited to:
2. Assisting with diary management, ensuring diaries are kept up to date. Setting up both internal and external calls/meetings, liaising with the appropriate people to agree on suitable dates, ensuring all details and supporting documents required are provided in advance. Managing diary conflicts and rearranging calls/meetings where necessary.
3. Booking travel through our travel system and ensuring all relevant details are in calendars.
4. Supporting the preparation of reports, presentations, and other documents ensuring all adhere to Isio branding, are professionally formatted, and delivered on time to meet any deadlines.
5. Inbox management where required.
6. Prioritising tasks and projects to ensure Partners and Directors focus on high-impact activities and providing reminders and follow-ups on key deadlines andmitments.
7. Supporting with expenses using our expense system.
8. Supporting with events your stakeholders may be involved with.
9. Handling confidential information appropriately.
10. Taking and directing calls via switchboard to relevant teams/departments.
11. Ordering internal rewards for team members where required.
12. Assisting other central function teams such as HR with tasks as required.
13. Providing cover for other EAs during periods of absence.
Office Manager:
14. Working with the Office Head to ensure the smooth running of the office and maintain a weing environment for both staff and visitors.
15. Sharingmunications and updates with the team.
16. Assisting the Office Head with the organisation of team and external events where required.
17. Ensuring colleagues adhere to processes and policies, escalating as required.
18. Ensuring all colleagues have the relevant tools and information to be able to provide a warm wee to clients and visitors to the office.
19. Monitoring and managing office budgets and working with the Office Head to agree on spends.
20. Managing the office credit card ensuring all expenses areplete for spends.
21. Maintaining office documents and records.
22. Organising, maintaining, and ordering supplies for the office for both employees and visitors.
23. Maintaining security for the office bypleting regular checks, liaising with the Head of Information Security, keeping all security records up to date, and reporting any suspicious activity including being involved with annual audits.
24. Liaising with the building management team on a regular basis, ensuring good services andpliance is being adhered to.
25. Contractor Management.
26. Ensuring contractors are managed and organised whilst within the office, ensuring they remainpliant for both Health & Safety and Security purposes.
27. Taking ownership and organising contractors for regular planned maintenance work plus ad-hoc maintenance as required in a timely manner.
28. Dealing with all facilities tickets raised.
29. Ensuring health and safety standards are met and evidenced as required.
30. Bing the onsite Audio-visual equipment guru - providing basic IT/presentation troubleshooting help and interacting with IT as required.
31. Providing cover for the other Office Managers during periods of absence.
32. Owning the above processes within the Bristol office and identifying improvements.
Experience, Qualifications and Skills:
33. Demonstrable experience of working in a corporate setting in a similar role.
34. Management of key stakeholders at all levels in a typical corporate environment.
35. Previous experience of using video conferencing solutions.
36. Excellentmunication and interpersonal skills.
37. Experience of using all Microsoft packages.
