Overview As a member of the Gift and Records Services team, the Information Processor plays a crucial role in ensuring that the Office of Development is processing revenue and providing related services to our constituents in a timely and accurate manner. This position creates and updates a variety of information on Yale University’s fundraising and constituent relationship management (CRM) database for alumni, donors and other constituents. Key duties and responsibilities include: In accordance with university policies and procedures, perform data entry for gift and biographical information on all constituent types within the fundraising CRM database, read, interpret and verify the gift and biographical information supplied from different source documentation and confirm identities of entities. Search database as necessary to associate accurately each gift or biographical piece of information with the appropriate entity & process gifts received from multiple channels, including checks, credit cards, cash wire and other electronic fund transfers daily for batch entry with Workday financials in the CRM. Serve as primary contact with Planned Giving staff for bequest, charitable gift annuities, donated securities and other non-cash gifts for batch entry & perform research as needed to complete the processing and accuracy of the gifts in a timely manner. Provide customer service and trouble shoot various inquires and other issues as necessary, scan and index back up documentation to establish database links to constituent records & comply with security policies regarding confidentiality of all donor information. Demonstrated ability to multitask and process a high volume of transactional data with speed and accuracy and complete tasks in a detailed and timely manner while working independently. 2. Superior communication skills with the ability to demonstrate accuracy and attention to detail and maintain strict confidentiality of information. Ability to work collaboratively in a team-orientated cross-functional work environment. 3. Ability to quickly learn constituent and giving information in Yale’s CRM system; adept at learning new technologies and experience with Microsoft Office programs. 4. Excellent attendance and punctuality history. Must be available to work scheduled hours onsite and be available to work during peak periods through the winter holiday recess and early January, and during fiscal year-end closing in June and July. 5. Commitment to an inclusive workplace. Preferred Education, Experience and Skills At least three years of data processing and/or customer service experience. Experience in a university setting or fundraising organization.
Principal Responsibilities
* Serves as source of information to students, staff, faculty, and clients on policies, procedures, and office activities. 2. Greets visitors. Answers and screens telephone calls. Assesses natures of business. Provides assistance or refers to appropriate individual. Schedules and coordinates meetings and appointments. 3. Receives and schedules client referrals. Resolves scheduling conflicts. Formats, keyboards, edits and proofreads correspondence, grants, manuscripts, reports, and other material. Assembles attachments and corresponding material. 4. Reviews outgoing material for completeness, attachments, dates, and signatures. Composes general correspondence and written material. 5. Gathers, compiles and records data. Creates reports and summarizes findings. Assembles and compiles material for grant, contract, and budget preparation. 6. Monitors expenditures and reconciles financial statements. Coordinates travel arrangements. Establishes and maintains filing systems. Sorts screens and distributes mail. Completes forms. 7. Orders and maintains inventory of supplies. Photocopies material. Oversees and instructs support staff. Performs additional functions incidental to office activities. 8. May perform other duties as assigned. Required Education and Experience Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
