About the Role
Day to day, as a Lettings Coordinator, your role will be to oversee all the administrative needs of a busy lettings agency. This is a varied position where you will liaise with landlords, tenants, and contractors, provide support to the office, and play a central role in getting tenants reference-checked and moved into their new home. It's a fantastic opportunity to grow your experience within the property lettings industry.
Main Tasks and Responsibilities
Administration & Compliance
* Preparing tenancy agreements, renewals, and related documentation.
* Ensuring all legal compliance checks are completed (e.g., right-to-rent, gas safety, EPCs, deposit registration).
* Managing tenant referencing and credit checks.
* Processing initial rental payments and protecting deposits.
* Maintaining accurate records and filing systems (digital).
Tenant & Landlord Liaison
* Handling tenant and landlord queries.
* Booking applicants and property viewings.
* Managing communication between landlords, tenants, and contractors.
Office Support
* Answering phone calls, responding to emails, and greeting clients/visitors.
* Supporting colleagues with administrative tasks and diary management.
Organisational Duties
* Coordinating property move-ins.
* Organising check-in meetings and viewings.
* Keeping office systems up to date (databases, CRM, calendars).
* Filing, scanning, and preparing documents.
* Assisting with onboarding tasks where required.
Where You Will Be Based
You will be based in our newly refurbished office at 30–32 High Street, Westbury-on-Trym, BS9 3DZ, working alongside a friendly team of eight others.
Terms of Employment
* Salary: £24,000 to £28,000 per annum basic salary (with performance-based bonus)
* Hours: Monday 8:40am to 5:30pm, Tuesday to Thursday, 9:00am–5:30pm, and Friday, 9:00am–5:00pm
* Location: Balloon Letting Co, 30–32 High Street, Westbury-on-Trym, Bristol
* Holiday: 22 days annual leave plus bank holidays, and an additional day off for your birthday
* Pension: Contributory pension scheme

Experience
* Minimum of 1 year working as a Lettings Coordinator or in a similar role – Essential
Qualifications
* ARLA qualified – Desired

* Strong administration skills with excellent attention to detail and numeracy – Essential
