We’re looking for a proactive and detail-oriented Commercial Administrator to join our Commercial Management team. This role is critical in ensuring seamless administrative operations, timely responses to customer information requests, and efficient coordination of bid-related activities. Duties & Responsibilities:
Customer Information Requests
1. Manage and respond to customer inquiries, including company information, financials, ESG (Environmental, Social, Governance), and Cyber Security topics.
2. Collaborate with internal teams (Sustainability, IT Security, Legal) to gather and validate data.
3. Maintain the customer information request portal, ensuring accurate logging, tracking, and timely responses.
4. Produce regular reports on request volumes, response times, and recurring themes.
Commercial Support
5. Assist Commercial Managers with bid submissions, including document preparation, formatting, and compliance checks.
6. Maintain and update bid documentation libraries and templates.
7. Track bid timelines and ensure deadlines are met.
Reporting & Data Management
8. Generate reports on commercial activities (bid pipeline, win/loss analysis, customer engagement metrics).
9. Support data entry and validation in commercial systems and tools.
10. Prepare presentations and summaries for internal reviews.
Pre-Requisites / Skills / Experience Requirements:
11. Strong organizational and time management skills with keen attention to detail.
12. Excellent written and verbal communication skills.
13. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
14. Ability to work collaboratively and engage with stakeholders at all levels.
15. Self-motivated, proactive, and accountable.
16. Familiarity with ESG and Cyber Security topics is a plus.
17. Experience with CRM or bid management tools is advantageous.
