JOB SUMMARY Chelmsford City Racecourse, the UK’s newest racecourse, is looking for a Private and Corporate Events Executive to help create and assist in a wide variety of private events while developing the racecourse into one of the most versatile venues in the UK. WHAT YOU WILL BE DOING Reporting to the Head of Private Events, you will work from concept to delivery assisting in delivering the events while providing a seamless hospitality offering to clients. You will assume the responsibility for specific areas of the operation and perform roles as required on build up to and during event days. KEY ACCOUNTABILITIES Assisting the Head of Private Events with raceday entertaining and non-raceday events Accurate planning of load in, break and load out Co-ordinate relevant information with other departments within the racecourse Promptly responding to inbound enquiries Conducting site visits Completing and updating function sheets for each event Managing clients and working with them from point of first enquiry to event completion Managing aspects of the operation during events to deliver an excellent experience for customers Practical on the day management and ownership of your allocated private events Building and maintaining strong industry and agency relationships Maintaining private event based social media platforms Updating venue listings and websites, as and when required Utilising the site to maximum potential on non-racedays Attending off-site conferences and events to market the venue to prospective clients and local stakeholders Delivering events that are successful for both the clients and the business Approaching the role from an entrepreneurial perspective, exploring new opportunities and working closely with the team on creative ideas for outreach and marketing The above is not an exhaustive list of duties, and you will be expected to perform different tasks as required within the organisation and the overall business objectives of the organisation. PERSON SPECIFICATION QUALIFICATIONS Experience in event management within a venue or an events company Experience working on a range of events such as conferences, brand launches, award ceremonies and private parties EXPERIENCE/SKILLS • Desire to be part of a highly ambitious team • Proven track record of the planning and delivery of events or productions • Promoting, marketing and operation of events • Understanding of technical and production equipment • Knowledge or qualification in health and safety regulations pertaining to live events • Creative flair and the ability to provide solutions to operational challenges • Good knowledge of corporate clients and hospitality agencies • Effective problem solver • Highly organised and good time management • Strong numerical skills • The ability to work to rigid time constraints and under pressure • Understanding of production equipment • Critical planning skills PERSONAL CHARACTERISTICS • Business savvy and an enterprising attitude • Ability to multitask • Flexible/adaptable and calm under pressure • Personable and friendly disposition ESSENTIALS • Full UK driving licence • Able to work outside normal office hours, including weekends and public holidays • High level of spoken English TRAINING AND DEVELOPMENT Full training will be given to the post holder to help them fulfil their duties.
