Victoria Miro is seeking a highly organised HR Coordinator to support the delivery of effective, compliant, and people-centered HR operations. This role focuses on the administrative, systems, and operational aspects of HR, ensuring that processes run smoothly and that records, reporting, and systems remain accurate.

Job Description
HR Systems & Administration
* Manage Victoria Miro's HR system (BambooHR) as the main point of contact.
* Record and maintain holiday, TOIL, and sick leave.
* Upload annual holiday entitlements, including additional allowances.
* Maintain and archive confidential HR documentation.
* Provide guidance and training on BambooHR use.
Policies, Compliance & HR Support
* Assist in drafting, reviewing, and implementing policies in line with UK law and company values.
* Act as a secondary contact for HR queries from staff and managers.
* Support documentation and follow-up for HR matters without owning employee relations cases.
* Stay up to date on UK employment law and guidance.
Employee Relations & Lifecycle Management
* Support flexible working, performance management, absence management, parental leave, grievance and disciplinary matters, and workplace accommodations.
* Manage maternity leave, including meetings, documentation, and pay/holiday calculations.
* Monitor probation end dates and coordinate benefits meetings.
Recruitment, Onboarding & Records
* Coordinate inductions for new hires, interns, and work experience placements.
* Administer reference and visa checks and maintain records.
* Monitor visa expiry dates and request updated documentation.
Engagement, Performance & Development
* Assist with annual performance reviews and analyse results.
* Support employee surveys and prepare actionable reports.
* Help coordinate training and line management development.
Additional Responsibilities
* Maintain confidential records relating to employee health and adjustments.
* Support Facilities and IT with operational needs.
* Implement and maintain the Modern Slavery Policy.
* Act as First Aider and Fire Marshal (training provided).
* Support gallery events, including private views.
Accountabilities
* Ensure accurate, compliant, and timely management of HR systems and employee records.
Job Requirements
HR Systems & Administration
* Maintain HR systems (BambooHR).
* Record leave, TOIL, sick days, and other employee data.
* Upload and update employee documents (contracts, policies, etc.).
* Support onboarding, probation tracking, and offboarding.
Policy & Compliance Support
* Help implement HR policies (written and digital).
* Ensure compliance with employment law (UK: holiday, parental leave, health and safety, visas).
* Prepare documentation for managers and leadership; don't lead HR disputes.
Employee Lifecycle Support
* Assist with recruitment and onboarding for new hires.
* Track probation, benefits eligibility, and contract changes.
* Manage maternity/paternity leave processes (documentation, calculations).
Reporting & Analytics
* Generate reports for Director of Operations.
* Track performance review data, employee satisfaction surveys, absence statistics.
* Provide actionable insights without making policy decisions.
Job Responsibilities
The HR Coordinator focuses on the administrative, systems, and operational side of HR rather than strategic or employee-relations leadership. They ensure HR processes run smoothly and support managers and employees by keeping systems, records, and reporting accurate.

* Operations, accuracy, and compliance: The core job is to make HR processes smooth, transparent, and error-free.
* Support role: They provide data, documentation, and process assistance to managers and the HR/Operations leadership team.
* No direct employee management: They don't independently handle grievances or lead employee relations (though they may prepare information for HR managers or the Director of Operations).
