Description
The HR Co-ordinator will assist the HR Team in all administrative aspects of the employee journey with Flint Bishop.
This is an exciting, newly created role which will allow the successful candidate to be involved in day-to-day HR activities, as well as taking on key firm-wide projects.
This is an exciting role which will support the firm at an exciting time of growth.
Reporting directly to the HR Manager, this role also works alongside an existing HR Officer and is based at our offices at Pride Park, Derby, Monday to Friday 08:45 to 17:00.
Key Responsibilities
* Support with the development and integration of the Firms new HR system.
* Attend meetings with the HR Manager where required to take minutes and prepare records of conversation.
* Ensure all meeting actions are diarised and followed-up/completed in a timely manner.
* Monitor sickness absences and flag any high Bradford Factor scores to the HR Manager. Attend/conduct sickness absence meetings where required.
* Send return to work surveys for all sickness absences. Monitor responses and flag any areas of concern to the HR Manager
* Send all DSE assessments to staff where required. Ensure actions are completed in a timely manner and research/order equipment as needed.
* Take an active lead for the annual compliance training and practising certificate renewal process. Ensure all actions are completed by set deadlines.
* Compile diversity data for the SRA on an annual basis.
* Support with collation of monthly HR scorecard which includes labour turnover, recruitment, and staff information.
* Administer all exit interviews and prepare monthly figures based on results. Present findings to the HR Manager and attend follow up meetings with leavers where appropriate.
* Design and send regular pulse surveys. Prepare results presentation to be delivered to the Head of HR and CEO. Attend follow up action meetings with individual HODs.
* Work alongside the HR Manager to obtain Investors in People Gold or Platinum award. Assessments occur every 3 years, annual programme should be implemented to ensure continuous improvement in line with the desired standard.
* Take an active involvement in the Firm’s wellness and social calendars. Sit in on social committee meetings as appropriate.
* Assist the HR Manager when preparing training sessions. Ensure materials are printed and prepared in advance and assist with room set up/take down.
* Liaise with the HR Officer and HODs to create detailed induction plans for all new starters and ensure this is completed as planned.
* Update HR induction presentation as required, including job titles, department size, vacancies, etc. Assist new starter induction training where required.
* Support with delivery of new starter HR induction presentation.
* Assist with the completion/storage of HR documentation adhering to statutory compliance requirements i.e. Right to Work Checks.
* Assist the HR Manager with the annual PDP process. This includes sending PDP forms, ensuring proper completion and scheduling meetings. Ensure any agreed actions are followed up within each department.
* Assist with maternity & paternity meetings as required. Conduct risk assessments and ensure keeping in touch check points throughout absence. Make sure meetings are diarised for the Head of HR.
* To assist with apprenticeship levy on behalf of the Firm.
* Complete employee file audits and assist with audit preparation.
* Diarise all meetings with trainee solicitors throughout the year to ensure their programmes remain on track. Collate all documentation as needed. Assist with the preparation and roll-out of regular assessment days.
* Take ownership of and manage work experience placements.
* Support with Firms L&D activities.
* Assist with all other general HR duties as required by the Head of HR/HR Manager.
Skills, Knowledge And Expertise
You will:
* Have previous experience in a HR role, preferably in professional services
* Have up to date knowledge of UK employment law
* Have experience working with senior stakeholders
* Have experience attending/conducting sickness absence related meetings
* Have a continuous improvement focus
* Be a confident communicator
* Be able to prioritise workloads effectively and maintain accurate records
* Be experienced working with HRIS and payroll services
