We are seeking a dedicated and detail-oriented LTVS Medical secretary to join our team in the Respiratory Department at Wythenshawe Hospital. The post-holder will be responsible for managing day-to-day operations, including advanced proof reading with medical terminology, ensuring that all letters, reports, and documentation meet Trust and departmental deadlines.
Key responsibilities include sorting and distributing incoming mail, processing referrals, arranging urgent admissions and appointments, and maintaining accurate patient records. The role also involves liaising with GPs, handling patient inquiries, and managing consultant waiting lists. The successful candidate will demonstrate a commitment to ongoing learning, adherence to policies and procedures, and effective communication.
This is an excellent opportunity for someone with strong organisational skills and a deep understanding of medical terminology to make a meaningful contribution to patient care within a dynamic and demanding environment.
You may also assist in training new staff, manage cross-cover duties within the team, and participate in audits when required. This role requires excellent organisational skills, proficiency in office procedures, and a commitment to maintaining high data protection standards.
This is a part-time role (30 hours), reporting to the Team Leader for Long Term Ventilation, with opportunities to grow your knowledge of medical terminology and healthcare systems.
Your Primary Duties Will Include
* Advanced proof reading/ typing: Transcribing letters and reports with accuracy and efficiency, utilising medical terminology, and ensuring all work meets Trust and departmental deadlines.
* Mail Management: Sorting and distributing incoming mail (both electronic and paper), ensuring that all necessary documentation (e.g., notes, x-rays, results) is available for medical staff review.
* Referral and Appointment Coordination: Processing referrals, prioritising by medical staff, arranging urgent admissions, and scheduling investigations/appointments within and outside the Trust.
* Patient Record Management: Maintaining pending files for patients awaiting investigation results, ensuring all documents are correct and available for clinic appointments, and filing signed-off investigation reports.
* Communication and Liaison: Handling telephone inquiries, liaising with GPs regarding referrals/results, managing consultant waiting lists, and providing professional and caring communication with patients and their relatives/carers.
* Administrative Support: Managing diaries, arranging meetings, maintaining stationery stock, processing petty cash, and assisting with the induction and training of new staff. You may also be required to take informal minutes and participate in departmental audits.
These duties require a high level of organisation, attention to detail, and the ability to work efficiently in a fast-paced environment.
