We are actively looking for an Executive Assistant to support the Managing Director at our head office in Great Dunmow. This role is on a part time basis, 26 hours per week, over 5-days per week, Monday to Friday.
Main Responsibilities Of The Role
* To provide administrative support and manage the provision and dissemination of workload including important or sensitive information to and from the Managing Director.
* Prepare and collate reports from departmental managers and gather actions for the Managing Director review.
* Take actions from key meetings, collate and chase completion as required.
* Management of meeting documentation relative to the managing director and the leadership team/SMT to include but not limited to: timely issue of agenda and associated documentation; attending meetings to produce minutes and circulate as appropriate to the meeting.
* Draft internal and external correspondence as well as proof-reading.
* Prioritize conflicting needs, handle matters proactively and follow through to successful completion, often with deadline pressures.
* Manage the diary accordingly.
* Research and compile information for meetings, reports, agendas and ensure that Managing Directors time and work is prioritised according to commitments, key issues and organisational needs.
* Minimise the needs for Managing Directors involvement with transactional processes.
* Communicate openly, keeping internal and external parties informed of progress.
* Anticipate and be reactive to changing priorities and transactional requirements.
* Management of memberships and external contracts.
* Arranging social events including but not limited to social, client and annual conference(s).
* Managing and arranging travel and accommodation for senior management as and when required.
* Preparing and managing mileage & expenses for senior management as and when required.
* Preparing formal presentations/documents.
* Maintain and manage company databases and other information.
* Provide project administration support.
* Supporting internal communications and social media as when required.
Essential
Skills & Experience
* Previous experience providing executive support at senior management/director level.
* Strong communication skills with the ability to influence and negotiate.
* Ability to work autonomously and be able to effectively prioritise.
* Effective time management skills.
* Demonstrate initiative and proactive nature.
* High attention to detail.
* Self-confident, polite, tactful and discreet individual with a strong sense of integrity.
* The ability to produce good quality copy, carry out document edits and report summaries where required.
* Good numeracy and literacy skills.
* Advanced administration skills including MS office packages (word, excel, teams etc…)
* An appropriate sense of confidentiality will be required at all times.
Desirable
* Experience within the construction industry in a similar role.
* And/or experience within marketing/PR would be advantageous.
