Main purpose of job: To manage, monitor and maintain Facility requirements and records. To cost and schedule maintenance works required with external contractors, ensuring cost effectiveness Weekly communications with Line Manager of work schedules, short falls, future requirements and completion of works. Perform small repairs where possible, across all of WineFlairs locations. Key Responsibilities: Tasks/duties involved: Create required Tickets on the W/F Maintenance System, uploading all documents/evidence and prioritise work in accordance of importance accordingly: Immediate - Needs completed within next 4 weeks (legal requirement) Important - Needs completed within next 3 months Required - Needs completed within next 6 months For Review - Reviewed over next 12 Months Review Maintenance System on a regular basis to ensure Tickets created have been scheduled for work accordingly or escalate if required. Proactively work with all necessary internal and external bodies/departments to ensure WineFlair is in compliance with regulations and legislation and make recommendations. Liaise with H.R. Manager & IT Manager in relation to any changes/amendments to policies and procedures prior to changes being issued to the Stores/Staff. Proactively review and source goods and services as required and in line with Company objectives, provide recommendations to your line Manager. Ensure all purchases are made in accordance with relevant legislation and standards. Review, monitor and manage all active Contracts to ensure delivery of service level agreements objectives, costs and targets keeping Tender schedule on teams updated. Review and analyse tender proposals when requested, providing advice and recommendations. Assist in the delivery of hard and soft services with internal and external teams/suppliers. Identify and investigate any issues, concerns or failings in contracted services and escalate to your Line Manager. Identify and prepare technical and commercial specifications for tender and procurement of maintenance contracts. Check and authorise suppliers repair invoices within delegated authority levels (£300), resolving any queries in conjunction with your Line Manager. Management authorisation required for all other spends. Schedule and ensure all planned and reactive maintenance are fully undertaken and completed as per timescales and targets set. Create and maintain centralised schedule for regular on-going maintenance work. Ensure the upkeep and updating of all tickets on the ticket system, follow up on all outstanding issues and escalating any concerns to your Line Manager. Ensure compliance with all Health & Safety Regulations and Company Policies. Inspection of maintenance and safety of equipment in stores and warehouse. Recommend solutions to issues, improvements and new prevention measures. Stock Control: Assist with warehouse order processing. Assist with Stock Takes as and when required to ensure schedule stays up to date. Conduct Mini Cash Audits as part of Stock Take process, completing relevant paperwork and escalate any issues/concerns to your Line Manager. To investigate and resolve any Stock Loss concerns and escalate problems to Pricing / Costs: To assist/advise in the processing, implementation, and programming of Suppliers Promotions / Discount on Infinity system. To process all stock reductions requested by stores or manage when delegated. To process all non-scanning requested by stores or manage when delegated. Staffing and Personal Training To be able to work unsupervised and use your own initiative with a can do/will do attitude. To develop your skills and qualifications to meet the long-term needs of the business. To communicate effectively in all areas of the business and encourage good communications and relations between staff members and external customers at all times. To work as part of a Team, maintaining a good team spirit. To attend courses and complete all training required by the Company. Schedule TIO and RA training and refresh training for all site management. Other Duties To attend and achieve all Training as required by WineFlair in relation to your job requirements To develop your skills and qualifications to meet the long-term needs of the business. Assist in providing support as requested by other departments. To be flexible as regards availability and willing to work extra hours if and when required. To maintain professional confidentiality at all times and not disclose confidential company information or material to any unauthorized person internally and/or externally. To perform any other duties relating to the position as may be deemed necessary by the Management. Assist as required with the maintenance, upkeep and installation of Store I.T. equipment. Assist on a daily basis with troubleshooting problems of store I.T. equipment and software. To work as part of the Operational On-Call Team on a Rota basis to deal with emergency Stores situations and operational requirements. Admin Review, monitor and update on a weekly basis /as required the Information Spreadsheet on Microsoft Teams in relation to any updates/changes etc. made by yourself. Skills & Experience: Essential Criteria: Ability to work within a team but also be self-motivated and able to work under pressure. Proven experience in a Facilities.
