Overview
The Administrative Assistant will provide effective administrative service to aid the efficient running of the Acute Inpatients Team.
As well as administrative tasks the postholder will collect and input statistical information required by Welsh Government and copy/audio type reports/letters are required by the team.
English and/or Welsh speakers are equally welcome to apply.
Main duties of the job
Duties include:
* Oversee and use to full potential the data collection software used within the department. Responsible for collation, preparation and formal presentation of performance related data and to support the Manager in all aspects of managing data and performance.
* The emphasis will be on team working, sharing of knowledge and experience for the overall benefit of the organisation.

This doesn’t mean essential; whilst the candidate doesn’t need to have skills in Welsh, we’ll consider it an advantage when short-listing and selecting candidates. Job responsibilities
* Organise own daily work processes.
* Monitor and review data capture systems, ensuring that quality and accuracy of data capture and reporting is consistently high.
* Undertake and assist in regular data accuracy checks and data cleansing.
* Deal efficiently and effectively with correspondence and queries, often of a highly confidential nature from other agencies and the general public.
* Deal effectively with all other correspondence and queries relating to the Service.
* Ensure all patient/client correspondence and investigations are filed appropriately and necessary information is available within required timescales and prior to client attendance.

Person Specification
Qualifications/Knowledge
* 3 GCSEs or equivalent
* RSAII Typing or equivalent relevant experience
* ECDL or equivalent
* Medical terminology
* NVQIII Business Administration or equivalent relevant experience
Experience
* Previous all round office experience
* Experience of using databases
* Experience of establishing new systems of work
* Has previously worked in the NHS or similar environment
Aptitude and abilities
* Ability to transfer IT skills to new
* Good interpersonal skills. Ability to work in a challenging environment
* Flexible in approach to work and duties to meet the needs of the service
* Ability to travel to any site managed by the Mental Health Directorate
* Welsh language speaking/listening skills at Level 3 or above
* Knowledge of University Health Board IT systems
