Role purpose
To provide comprehensive administrative and general assistance and support to the Property Director and the Property Team.
Main duties
* Provide executive support and diary management to the Property Director, including scheduling meetings, appointments and handling all related arrangements and administration.
* Act as a key point of contact/gatekeeper for the Property Director, managing incoming calls, post and emails promptly and appropriately, and responding on the Director’s behalf where required.
* Build strong working relationships with other PAs and EAs across the business to coordinate diaries, align priorities, share information and ensure seamless support.
* Provide day-to-day administrative support to the wider Property Team as required.
* Support the Property Director in keeping the Property Team and sub-teams running smoothly, helping ensure procedures are followed and that operational/financial reports are prepared, reviewed and submitted accurately and on time.
* Organise travel and accommodation for the Property Director.
* Prepare documentation, collate reports and compile correspondence for the Property Director, ensuring information is clear, accurate and ready in advance of meetings.
* Assist in administering the company complaints process, ensuring complaints are logged, responded to within agreed timescales, and escalated in line with procedure.
* Maintain effective data management, filing and document control systems.
* Coordinate meetings, produce and circulate minutes/actions, and proactively follow up to ensure actions are completed.
* Liaise efficiently with internal departments and with property/development teams to keep work moving and communication clear.
* Maintain and review central trackers/spreadsheets, issue updates and reminders, and elevate risks, issues or concerns to the Property Director early.
* Carry out research and support project work as required.
* Liaise professionally and proactively with clients, customers and stakeholders as a representative of the Property Director and an ambassador for the business, ensuring high standards of customer service, compliance and presentation.
* Maintain a professional, positive and approachable manner with both external contacts and internal teams; be confident, firm and tactful when needed in the Property Director’s absence.
* Work under your own initiative, proactively identifying tasks, anticipating needs, taking ownership of work, and driving it through to completion without needing close supervision.
* Undertake other duties as required to support the success of the Property Director and Property Team.
What We Ask From You
* Minimum of 12 months’ experience supporting senior executives in a similar role
* Customer service experience
* Experience of managing a busy and demanding workload
* Microsoft Office and Microsoft SharePoint, basic
* Exhibit confidentiality, discretion and diplomacy
* Meticulous attention to detail
* Eloquent written and verbal communication skills
* Ability to multitask and prioritise a busy workload
* Capable of working on own initiative and managing own workload effectively, and as part of a team
* Capable of formatting and presenting information to high standards
* Effective time management
* Strong organisational skills
* Professional and firm when required
