We are seeking an organised, proactive Project Support Officer to provide high-quality project and administrative support to the Community Led Support (CLS) services within Fife HSCP Locality Planning. You will play a key role in ensuring smooth day-to-day operations across the service, with a particular focus on e-mail management, telephone contact, data handling and allocation, and document preparation.
You will be responsible for responding to basic enquiries, redirect where needed, and ensure all communication is delivered with professionalism and efficiency. A significant part of this role involves using the FORT system to pull, maintain and report data accurately to support the delivery of CLS activity across Fife.
The Person
Key responsibilities:
Provide general administrative support to the CLS services - Link Life Fife, The Well and Improving the Cancer Journey.
Supporting the Senior Project Support Officer with any relevant duties.
Manage shared inboxes, respond to or redirect enquiries.
Daily allocation of referrals to staff and caseload monitoring.
Pull and maintain data from internal and external systems including FORT, SCI Gateway and others, ensuring accuracy and consistency.
Assisting in drafting and preparation of reports: word processing including creating, formatting, and updating documents ., reports, correspondence, minutes, newsletters.
Maintain accurate records and filing systems (both electronic and manual).
Support with meeting coordination: booking, minute-taking, and following up actions.
Assist with finance-related admin tasks, such as procurement, processing orders and liaising with finance teams.
Use ‘Good Conversations’ principles to engage positively with individuals when appropriate, covering initial calls.
Collaborate effectively with colleagues across Health & Social Care and partner organisations.
Experience of delivering a customer focused service (Focus on Customers - See How We Work Matters Framework).
Strong administrative skills and experience in a customer-focused environment.
Excellent organisational and communication abilities.
Confident managing e-mail inboxes and handling telephone enquiries professionally.
Skilled in using databases and pulling data (experience with FORT is highly desirable).
Proficient in Microsoft Office (Word, Excel, Outlook).
Able to handle sensitive information with discretion.
Flexible, reliable, and able to work independently as well as part of a team.
