EQUANS are recruiting for a Document Control Manager to be based in Manchester. This is a permanent full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
General Overview
1. Support the teams to effectively manage all information flow, to maintain and control the influx and issue of drawings, specification, surveys, reports, documents, and trackers, to ensure all departments and team members have the latest and correct information that has been through the workflow process.
2. To assist in the running of Equans CDE (Viewpoint) and supporting information management systems.
3. Must be proficient in using Viewpoint & Fieldview.
4. To consult with other Document Controllers and project teams across the business to allow for effective feedback and reporting to feed back to the Business Information Manager.
5. To sit as member of the Viewpoint Community forum within Equans.
6. Offer training and support to users.
7. To support change management.
8. Outline procedures to system users
9. Manage/Support Northwest Document Controllers
10. Assist in mainstreaming systems and procedures across the business.
Key Accountabilities
11. Support the development of the utilization of Viewpoint across all projects.
12. Monitor and report on the systems to ensure it is being used effectively.
13. When required: Issue protocol documents/coordinate set up of new projects/invites to Viewpoint.
14. When required: To QA check:
15. That all drawings/documents received/uploaded on the system have been correctly named in accordance with the projects naming convention.
16. That items have been uploaded to relevant workflow.
17. The revision sequence is correct.
18. Vote at the QA stage of the workflow
19. When applicable: monitor workflows ensuring time scales and user efficiency.
20. To oversee multiple projects on the system simultaneously.
21. When applicable: Monitor / assist consultants uploading, ensuring all necessary protocols are followed and assist in closing out issues efficiently.
22. Provide initial and ongoing training for new starters, consultants, and contractors on the CDE.
23. When required: Support the teams with setting up subcontract/ handover package folders on Viewpoint.
24. Support the users in using all aspects Viewpoint & Fieldview
25. When required: Assist in collating information from the system for handovers.
26. Reconfigure Refurb Project templates on Viewpoint.
27. Assist in creating/ reviewing digital processes.
28. Support Northwest Document Controllers on EQUANS way, system/ EMS processes
29. Configure Fieldview & Viewpoint forms and container links.
30. Hold reviews with Northwest Document Controllers on systems & processes.
31. Create Project Execution Plans for the Region.
32. When Required: Carry out system investigations.
33. Report/ monitor individual departments use of systems.
34. Hold/ Attend Lesson Learn/ Post Project Completion Reviews
35. Delegate overflow work between document controllers
36. Attend prestart meetings to understand project requirements ahead of commencement.
37. Manage escalations regarding the system performance & use from the site team, consultants, or clients.
38. Work with the Document controller team to develop performance and carry out one to ones.
39. Assist in mainstreaming systems and procedures across the business.
40. Support additional teams with utilising the system to deliver project requirements, i.e., PAS / BIM

Experience
56. Expert Use of Viewpoint system, i.e., Workflows, RFis, Reporting, Mark ups, uploading, naming conventions. etc.
57. Knowledge of Fieldview system, i.e., reporting, drawing collaboration, general system admin use.
58. Knowledge of Microsoft Suite Software O, Excel & Word.
59. Previous Document Controller experience a necessity.
