We are currently looking for 'Head of Fee Collections/Finance Administrator' to work in our small, but busy nursery group.
The successful candidate will primarily work out of our Bedford setting, but will have the opportunity to travel to other settings to meet and work alongside other nursery managers.
The role will focus on fee collection, reviewing expenditure, bank reconciliations and staff sickness.
Working as part of a busy team, we seek someone who is; highly organised, a team player, works effectively under pressure, possesses a high level of attention to detail and accuracy, and should be proficient with all Microsoft Office packages (particularly Excel).
This post requires flexibility during busy periods (including month and year end) and a drive to be part of a team providing financial excellence.
Main duties will include:
Update cashflow sheets showing fees paid and all expenditure, ensuring a monthly balance is accurate
Highlight any obvious issues to managers such as, fee changes, session change
Working with the nursery managers to collect unpaid and overdue fees
This may include chasing through legal channels and where necessary, court visits to claim the unpaid fees
Carry out a thorough monthly review of the sheets, ensuring accurate financial data entry. Sharing all shortfalls with the nursery managers to ensure a quick collection.
On occasions complete a fee breakdown for parents.
Prepare and send on staff sickness reports, where sickness is taken from payroll sheets.
Reconciliation of supplier statements and advising nursery owners of what is needed to be paid and when.
Annually preparation of the forecasts for the coming year.
Data Entry & Record Keeping
* Maintain well-organised and secure financial records.
* Ensure financial documentation is accurate and accessible.
Audit & Compliance Support
* Assist with audit preparations by gathering and organising financial documents.
* Support compliance with internal policies and financial regulations.
Administrative Support
* Provide day-to-day administrative support to the finance department.
* Assist with responding to internal queries and maintaining smooth departmental operations.
Key Responsibilities
* Managing debtor accounts to ensure timely payments
* Extracting and analysing information from spreadsheets and reports
* Issuing customer statements, notice letters, and payment demands
* Making outbound calls to clients for payment and handling queries
* Reconciling accounts and resolving disputes
* Monitoring account balances and reducing debtor days outstanding
* Performing credit checks and placing accounts on stop when necessary
* Initiating legal proceedings for unpaid debts and liaising with courts/mediation as required
* Reviewing and handling chargebacks appropriately
* Maintaining accurate financial and administrative records
About you
* Strong Excel experience is essential – confident in using the system independently
* Background and previous experience in a finance administration or bookkeeping role
* Excellent attention to detail with strong organisational and time management skills
* Clear and confident communicator, proactive, and comfortable taking initiative with excellent customer service skills
* Strong organisational skills and attention to detail
* Ability to resolve disputes professionally and efficiently
* Motivated to learn, grow, and progress within the team
* Bonus: experience in fee collection
Job Type: Part-time – Permanent
Pay: £15 per hour (£29,250 per annum FTE)
