Administration Assistant (Highways Depot Support)
The Administration Assistant plays a vital role in supporting the operational efficiency of three Highways Depots directly impacting the performance and compliance of over 150 Highways operatives. This full-time post is essential for:
Payroll & HR Support: Timely processing of payroll, overtime, holidays, and HR queries ensures operatives are paid accurately and on time, maintaining morale and operational continuity.
Procurement & Invoice Processing: Responsible for ordering goods and processing invoices, the role ensures compliance with the Procurement Act 2023, avoiding late payment penalties and reputational risk.
Operational Administration: Manages daily reports, updates records, and handles correspondence with councillors, suppliers, and external teams, ensuring smooth communication and service delivery.
Accident Claims Management: Inputs and tracks insurance claims, providing accurate data for inspectors and legal compliance.
Workload Pressure: The post has been vacant since 1 June 2025, with duties redistributed across a reduced team, causing strain and diverting senior officers (PO4 & PO1) from strategic responsibilities. Historical Staffing Decline: From 3 full-time assistants in 2022 to just 1.4 FTE currently, the team is under-resourced, risking delays in critical functions like payroll and invoice processing.
