Purpose of the Job
The Box Office Assistant is responsible for maintaining a positive first point of contact for Pontio’s audiences as well as other visitors of the building to ensure the delivery of excellent customer care.
Main Duties and Responsibilities
1. To Administer the Box Office Activities for Pontio.
2. To sell tickets and maximise sales by telephone, across the counter and through postal bookings for all events at Pontio.
3. To sell additional facilities relating to a patron’s visit including merchandise, workshops, cafe bar etc.
4. To provide advice to patrons regarding online bookings.
5. To be proactive in the smooth running of Pontio’s Box Office, to ensure a positive experience for patrons.
6. To carry out ticket sales duties using the Pontio’s ticketing system Audienceview, conversing with the public in person and by telephone and ensuring constant attention to details for a smooth and courteous transaction on all occasions.
7. To be fully informed and proactive in the marketing of the Theatre’s products, services and facilities, looking to create sales opportunities whenever possible.
8. To be proactive on Pontio’s behalf in customer care and public safety and comfort, ensuring that customer requirements are dealt with courteously, efficiently and in a helpful manner.
9. To act as a point of a reference for all enquiries concerning the activities within Pontio and act as a point of contact in public areas of the building.
10. To capture customer information in accordance with the provisions of the Data Protection Act.
11. To be aware of issues relating to the security of the building and the safety of staff and patrons.
Financial
12. In the absence of or at the request of the Box Office Co-Ordinator, to produce all “end of day” financial and marketing reports and ensuring the system is closed down as required. This includes accounting for personal takings and reconciling these with the computerised reports.
13. Ensure that financial and data protection regulations, policies and practices are adhered to at all time.
14. To be an effective and flexible member of the Box Office team and to be available for work during evenings, weekends and bank holidays.
Other Duties and Responsibilities
15. The post holder will be expected to participate in performance review and developmental activities.

17. 18. The post holder must comply with relevant legal and financial policies and procedures and be aware of their responsibilities in terms of the legal requirements of their post.

Qualifications/Training
Essential
19. Minimum of 4 GCSEs at grades A* - D or NVQ level 1 in a relevant subject area (or equivalent).
Desirable
20. NVQ level 2 in a relevant subject area.
Experience/Knowledge
Essential
21. Previous sales experience.
22. Experience of working within a public facing, customer service environment.
23. Experience of Cash handling and credit/debit card operations.
Desirable
24. Experience and understanding Box Office systems and their management.
25. Knowledge of the North Welsh arts scene.
26. Awareness of Data Protection Act.
27. Previous experience of working within a busy arts environment.
Skills/Abilities
Essential
28. Good computer skills, including the use of Microsoft Office applications and databases (Word, internet, email etc.)
29. Good communication and inter-personal skills, with the ability to communicate effectively in both English and Welsh, both orally and in writing.
30. Good organisational skills and ability to handle a varied workload.
31. Ability to work on own initiative as well as part of a team.
32. The ability to deal effectively with people.
33. Ability to maintain a high level of confidentiality and discretion.
