Offer description

This is a Full-time role. To co-ordinate all site allocation for the F2F team and assist with critical administration tasks. To liaise with the Charity on any issues arising. Working closely with external sources to secure quality Shows/Events, providing consistent rota for F2F team / Managers. Reporting directly to the Office Manager.

Main Duties

1. Sites
To research and secure private sites for the F2F team.
To act as primary contact for and manage the relationship with external site suppliers and regional managers to fulfil allocated region venue requirements.
To ensure all relevant paperwork is accounted for and accurate, thus fulfilling the contractual obligations to external site suppliers.
To monitor sales within venue and rotate bookings accordingly into the diary.
To address any site adjustments immediately managing site cancellation deadlines.
To cancel / increase Shows/Events by managing new starters and leavers within region.
To provide support to private site teams in real-time addressing any and all issues as and when they become apparent.
To keep accurate records and update relevant spreadsheet.
To create the conditions for successful fundraising through in-depth knowledge of site performance.
To update database with call details and new venue details.
To check incoming letters for dates and adding to database and movement sheet.
To check and send confirmation date letters.
. To act as primary contact to the charity;
To send daily reports on live and no go stores.
To deal with any issues arising in a timely manner.
. To field any complaints emanating from external sources (regulatory, site provider, donors) in a responsible and timely manner.
. To provide additional administration support to the department and F2F Manager as and when required.
. To attend training relevant to the job role.

. Accurate completion of a variety of reports working to tight deadlines.
.Research and analyse site suitability and Shows/Events nationally and make professional judgement of their suitability as a fundraising venue.

Essential skills and experience:
A methodical approach and keen eye for detail under pressure.
Exceptional organisational skills and ability to manage a complex area of fundraising operations to tight deadlines
Excellent interpersonal communication and negotiation skills (electronic, verbal and face-to-face) with ability to influence external site managers
Excellent IT skills including MS Word, Excel, databases, email
Able to prioritise, organise own workload and brief others.
Excellent office skills, including a thorough knowledge in the use of word processing and spread sheets.
Tact and diplomacy when dealing with complaints and members of the public
Good problem-solving skills with ability to react quickly and remote mange any site issues or complaints
Make decisions based on management information to ensure the charity is booking the best possible sites for F2F activity
